The Senior Administrative Assistant to the Medical Director, Cardiovascular Program, provides administrative support including, but not limited to, scheduling meetings for the division, providing document management support, facilitating requests from external partners such as CorHealth, providing data collection activities, literature/internet searches and supporting all other duties as requested by the Medical Director. The successful candidate will provide administrative support to the primarily to the Medical Director of the Cardiovascular Program.

Accountabilities:

  • Supports the Medical Director in administrative activities, supporting key priorities and initiatives including, coordination of calendars, preparation of meeting materials, and file management
  • Creates and formats documents, reports, spreadsheets, presentations, compose correspondence, manage databases using office software, publishing software and digital graphics
  • Prepares and communicates meeting agendas and takes meeting minutes
  • Schedules complex multi-party meetings for the program as required
  • Develops and maintains paper and electronic filing systems, including filing of confidential information
  • Conducts background research, internet searches, compiles data and prepares reports as requested
  • Assists with Accreditation preparedness paperwork upon request
  • Supports requests from clinical services managers and other medical leads for administrative coordination needs
  • Drafts memorandums, letters and email correspondence and prepares routine reports
  • Creates promotional materials and plan events for the Cardiovascular Program as required
  • Assist and respond to program enquiries from Osler, the LHIN and CorHealth
Qualifications
  • Two to three years of experience in supporting senior leaders with multiple, competing priorities
  • Possession of college diploma/certificate in office administration or equivalent is required
  • Bachelor\xe2\x80\x99s degree would be an asset
  • Advanced proficiency with Microsoft Office (Outlook, Word, Excel and PowerPoint), the internet and electronic data management systems (candidates will be tested)
  • Excellent oral and written communication skills and the ability to interact with staff, physicians and external parties all levels, as a team player is required
  • Proficiency in booking meetings, setting agendas, recording minutes, drafting professional correspondence, developing reports and drafting presentations
  • Exceptional organizational and time management skills within a fast-paced environment
  • Demonstrated ability to maintain a fast work pace, managing multiple priorities with strict deadlines while maintaining a positive attitude
  • Demonstrated diplomacy in working with others, employing a cooperative approach with a focus on customer service
  • Creative problem-solving skills and ability to exercise good judgment without direction
  • Experience in conducting background research and internet searches and collating findings
  • Ability to handle confidential information appropriately and professionally
  • Must be able to travel between all Osler sites

Additional Information

Hours: Currently days, Monday to Friday with a hybrid schedule, working both on-site and at home (subject to change in accordance with operational requirements)
