Make an impact with our Administration team as a Senior Administrative Assistant. Responsibilities




Support Partners through calendar and email management, invoicing, A/R, travel bookings/arrangements Maintain Partner contacts Coordinate and schedule internal and external meeting, appointment logistics and prepare supporting material Act as a point of contact for internal and external clients Review, modify and prepare moderately complex templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials; research, compile and summarize information/data Review upcoming deadlines and work requirements with the team or partners Enter, review and maintain client accounts and contact information in the Client Relationship Management (CRM) platform Aid in the invoicing process for assigned partners, including monitoring WIPs, expenses to be charged, drafting invoices, finalizing and issuing invoices to clients as per billing deadlines/schedules Conduct quality review (accuracy, completeness, appearance) of outgoing correspondence Track upcoming client year ends and monitor deadlines Record minutes at various meetings and distribute or archive them accordingly Prepare, submit and reconcile expense reports Maintain electronic filing systems Contribute to the development of new ideas and approaches to improve work processes Work collaboratively with other team members and leadership Maintain flexibility to work overtime, as necessary Occasional back up reception required Fax, photocopy and scan documents, as required

Skills and Experience




Completion of related post-secondary education in administration is an asset Two (2) to four (4) years of related administrative/clerical experience Experience in a professional services environment is considered an asset Strong computer literacy including effective working skills of Microsoft Word and Excel Previous experience with Caseware, Caseview and Taxcycle is considered an asset Strong client service focus in dealing with both external and internal clients, displaying integrity, tact and discretion Ability to problem solve, including proactive approach to working with team while demonstrating flexibility Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously
