This is a challenging and hands-on role responsible for generating all Accounts Payable outbound payments, as well as, supporting the processing of internal coworker credit card expenses. In this role you will work closely with teams physically located across the continent, as well as within the Corporate office.

Responsibilities:

1) General:

  • Accounts Payable for multiple entities and inter- company transactions; Handling high invoice volumes in multi-currency. Both PO and non-po invoices
  • Full Cycle Accounts Payable: Reviews, sorts, 3-way matching, coding, approvals, cheque runs (post, print and match), identify errors or discrepancies and timely resolution before processing. Ensures proper approval obtained prior to payment
  • Vendor card maintenance - create new vendors and maintain current vendors in ERP
  • Review open PO and unprocessed report bi- weekly, research and follow up with procurement analyst for timely resolution
  • Perform month end close duties for AP close
  • Comply with and enforce all control procedures (CEO/CFO) to ensure accuracy and timeliness of processing of expenses
  • Maintain Internal control documentation for Bill 198 compliance
  • Work with internal and external auditors as needed
2) Accounts Payable Payments:
  • Generating EFT payments for all suppliers & vendors
  • Generating Wire payments for all suppliers & vendors
  • Generating EFT payments for employee out of pocket reimbursements
  • Generating cheques payments
  • Investigating and resolving failed electronic payments
  • Stop and Reissue payment requests
  • Positive Pay Verification
  • Coordinate with banking partners on issues as they arise
  • Complete ad hoc payment related inquiries or requests
3) Credit Card & Expense Management:
  • Complete corporate credit card applications for employee credit card requests
  • Audit and approve expense reports (both credit card and employee out of pockets) within 2 business days of receipt
  • Monitor expense mailbox
  • Daily reconciliation of incoming credit card transactions to users in Microsoft Dynamics 365
  • Coordinate with credit card partner on issues as they arise
  • Monitor and escalate delinquent cardholder account balances
  • Create and facilitate training sessions for end-users
  • Coach, mentor, and support Expense Management Associate
  • Answer queries, rectify issues, process adjustments to the system as required
Qualifications:
  • Minimum of 5 years of experience in generating and reconciling supplier/vendor payments
  • Minimum of 3 years of experience in Credit Card and/or Expense Management
  • Accounting background preferred
  • Intermediate to Advanced skill level with Microsoft Excel
  • Experience with a large ERP, experience with Microsoft D365 is an asset
