Job Overview


We are seeking a highly organized and detail-oriented Scheduling Manager to oversee appointment coordination and administrative functions within our office. The ideal candidate will have strong computer skills, experience with office management, and excellent customer service abilities. This role involves managing schedules, maintaining accurate records, and supporting daily operations to ensure smooth workflow and exceptional client support.

Responsibilities



Manage and coordinate appointment schedules using scheduling software and Microsoft Office tools Handle data entry tasks with accuracy and efficiency, including updating client records and maintaining filing systems Respond to multi-line phone systems with professional phone etiquette, providing exceptional customer support and support at the front desk Utilize QuickBooks for basic bookkeeping and billing tasks related to scheduling activities Maintain organized files, documents, and correspondence in both physical and digital formats, including medical or dental office records if applicable Assist with administrative duties such as proofreading documents, managing calendars, and supporting team members with clerical tasks Provide excellent customer service by addressing inquiries promptly and courteously Support medical or dental office operations by managing appointment flow, verifying insurance information, and assisting with front desk responsibilities if needed

Experience



Prior clerical or administrative experience preferred, especially in medical or dental office settings Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with QuickBooks or similar bookkeeping software is a plus Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Excellent typing speed, data entry accuracy, proofreading skills, and attention to detail Previous experience handling multi-line phone systems and front desk operations highly desirable Customer service background demonstrating professionalism and effective communication skills Familiarity with office procedures such as filing, appointment scheduling, and basic bookkeeping is advantageous
Job Type: Part-time

Pay: $19.00-$20.00 per hour

Expected hours: 24 per week

Work Location: Hybrid remote in Calgary, AB
