Position Summary This is a Hybrid position located in Halifax N.S. Reporting to the Coastal Planning Team Lead, Thales requires a Scheduling Coordinator is to assist the Ship Maintenance Lead (SML) in organizing all required routines while developing an integrated schedule for the Work Period. The Scheduling Coordinator manages the preparation, monitoring, and maintenance of Work Period work lists and schedules. They ensure accurate and timely reports are produced as required along with updating real-time dashboards and communicating schedule changes across the enterprise. During the evolution of the Work Period, the Scheduling Coordinator will coordinate with the Technical Material Expeditor and advise if the identified Material is not in Stock. Additional tasks will include but not limited to; Raising Purchases Requisitions on behalf of the SML, collecting and organizing Objective Quality Evidence, and assisting Maintenance Coordinators with Work Pack Management.
Essential Functions / Key Areas of Responsibility The Assistant Maintenance Coordinator & Scheduler is responsible to the Coastal Planning Team Lead, and matrixed to the Ship Maintenance Team Lead, for the coordination, preparation, monitoring and maintenance of Waterfront Maintenance packages and schedules. The preparation and maintenance of these maintenance packages and schedules is done in conjunction with the various stakeholders (ie Ship Maintenance Lead, Team Leaders, FMF, and Sub-Contractors) as required. The work packages will be used to identify and validate that all required maintenance has been identified in the appropriate work period. The schedules will be used to identify the program critical paths in conjunction with end customers and other project companies and manage the work periods. The Scheduling Coordinator for is responsible to:

  • Provision of general project support and administration activities to the Service Delivery Team.
  • Liaise with key stakeholders to develop valid and accurate bid and project maintenance packages.
  • Liaise with key stakeholders to develop valid and accurate bid and project schedules.
  • Liaise with key stakeholders to maintain valid and accurate project schedules in accordance with a weekly update cycle.
  • Highlight areas of schedule and identify potential actions for improving performance.
  • Advise the Ship Maintenance Lead of scheduling/production issues that might impact on key schedule dates.
  • Ensure data transfer, data coordination between various program management software systems to ensure capture of accurate performance data.
  • Reconcile performance data generated from the systems with real project performance through communication with members of the project team.
  • Prepare regular reports and charts on project schedule progress and project performance in as required by the Ship Maintenance Lead and other stakeholders and as required.
  • Carry out analysis of project schedule and cost performance.
  • Assist the Ship Maintenance Lead through resource levelling and other appropriate scheduling techniques to identify suitable project execution strategies to reduce execution costs and improve schedule performance.
  • Assist with planning functions including project structure with relevant documentation.
  • Generating purchase requisitions for Suppliers and Subcontracted Services, maintaining purchase orders and ensuring the efficient financial closure of Subcontracts on behalf of the Service Delivery and Procurement teams.
  • Assist in ensuring Subcontracted service providers have the necessary paperwork and materials to complete designated maintenance tasks.
  • Attending meetings and preparing meeting agendas and minutes.
  • Ensuring compliance with Health and Safety requirements (team effort).
  • Monitor Material levels in relation to their Work Period.
  • Other tasking as required.

Minimum Requirements: Skills, Experience, Education, Technical/Specialized Knowledge, Certifications, Language Skills and Abilities:
  • 3+ Years of experience of scheduling projects highly advantageous.
  • Experience working within the Military or a Defense Contract or Project is advantageous.
  • Experience in the marine industry as it relates to Shipbuilding, Ship Repair, or Ship Maintenance is advantageous.
  • Competent use of Scheduling Tools (Microsoft Project preferred).
  • Project planning knowledge desirable.
  • Demonstrated analytical skills.
  • Strong computer literacy, with proven experience with Microsoft products especially Word, Excel and PowerPoint.
  • Strong organizational skills and ability to balance multiple priorities.
  • Excellent communications skills including the ability to prepare and present reports to a range of audiences.
  • Strong interpersonal skills including the ability to promote cooperation at all levels.
  • Language: English (Essential), French (Desirable).
  • Experience with using SAP ECC.
  • Experience in SharePoint.

Preferred Qualifications Education:
  • College Graduate with trade experience or; post graduate qualifications or trainings in the area of Business, Project Management, or Engineering will be looked upon favourably.

Physical Demands Predominantly working onsite in the Naval Dockyard and onboard Naval Vessels, will also be required to work from the office or from home. Must meet all federal government requirements to access Canadian government facilities, including naval dockyards.
