The Scheduling Assistant supports the effective operation of the In-Home Family Support by providing administrative assistance to the Operations and Scheduling Supervisor, data entry for Family Support Worker (FSW) schedules, retaining and archiving documents across the program, and disseminating information as requested.
Key duties
Assist the Supervisor in maintaining and updating real time daily schedules of Family Support Workers (FSW), primarily through data and information entry into a scheduling software system (StaffPoint), and excel database.
Communicate scheduling updates and shift changes to program staff in a timely manner.
Respond to FSW enquiries and escalate concerns to the appropriate team member.
Provide administrative support to the program leadership team and the Coordinators including but not limited to electronic document filing, photocopying, program supply organization, recording meeting minutes, and technical assistance when required.
Assist with front desk reception duties as needed
Perform any related duties assigned by the Supervisor or Program Manager.
Qualifications and Experience
Completion of Post-secondary education in an administrative services discipline.
Minimum of two years experience in a support, administrative, or scheduling role; experience in a community services setting is an asset.
Exceptional attention to detail.
Proficient in accurate data entry, preparing records, recording meeting information, and maintaining confidentiality in all matters.
Exceptional organizational skills, with the ability to thrive in a high-volume, time-sensitive environment while meeting deadlines and timelines.
Proficient in computer applications, including Microsoft Office (Word, Excel, Google platforms), scheduling and staffing software, and databases.
Effective interpersonal communication skills are required, serving as the direct point of contact for FSW through telephone and/or written correspondence.
Multi-task and prioritize competing demands, while managing interruptions and steady flow of incoming communications.
Strong interpersonal skills, demonstrating tact, patience, and courtesy, and able to work collaboratively in a team setting.
