THE ROLE:
Under the direction and supervision of the Director of Sales and Marketing, the sales and banquet coordinator is responsible for supporting the operations of the Sales and Catering office via file follow up, data maintenance, clerical and reception duties, and telemarketing as required. The Sales Coordinator supports the Director of Sales and the Sales team in the implementation of the hotel\'s sales strategies.
ACTIVITIES:
The duties and responsibilities for the Sales and Banquet Coordinator include, but are not limited to the following:
\xc2\xb7 Maintains and updates key sales/catering programs, procedures, reports and services.
\xc2\xb7 Supports sales/catering strategies by processing direct mail campaigns, sales kit preparation, lobby display and brochure rack updating.
\xc2\xb7 Participates in monthly sales and catering strategy sessions by providing input, taking minutes, updating action plans and distributing.
\xc2\xb7 Maintains and adheres to Function Space Booking guidelines, Critical Path and Group Booking Approval process in order to book business in the best interests of the hotel. Ensure sales/catering agreements entered into with the hotel and the client are in keeping with Sales Operating Procedures, hotel policies and Company Account standards.
\xc2\xb7 Maintains lost business, cancellation and lead/referral files by distributing to sales manager.
\xc2\xb7 Conducts hotel tours and services clients within the company and property policies.
\xc2\xb7 Supports sales and catering team in obtaining contract confirmation/signatures.
\xc2\xb7 Preparation, sending and distribution of catering/sales contracts.
\xc2\xb7 Booking, preparation and sending of sports team contracts and obtaining confirmation/signatures and rooming lists.
\xc2\xb7 Ensures that current and prospective databases are maintained, current and accessible.
\xc2\xb7 Ensures that all sales and catering contracts entered into by the sales and catering department with clients are communicated to other hotel departments. Works closely with the Front Desk, Reservations, Catering and other required departments to completely satisfy the requirements of the booking parties.
\xc2\xb7 Executes clerical and reception duties as required including Service Recovery, Priority Club follow up letters and welcome letters.
\xc2\xb7 Assists and supports the Director of Sales and the Sales and Catering team with any initiatives required to ensure the ongoing success of the hotel.
\xc2\xb7 Assists other office staff during periods of absence and down time.
\xc2\xb7 Responds quickly to guest requests in a friendly manner. Follows up to ensure guest satisfaction.
\xc2\xb7 Provides a professional image at all times through appearance and dress.
\xc2\xb7 Follows company policies and procedures.
\xc2\xb7 Personal vehicle to travel locally or to other locations is a primary job duty.
\xc2\xb7 COMPETENCIES WE ARE SEEKING:
Good understanding of hotel operations and is passionate about the industry
\xc2\xb7 Minimum of 2 years experience of banquet coordination
\xc2\xb7 Marriott brand experience is an asset
\xc2\xb7 Hotel operations experience is an asset
\xc2\xb7 Is a self-starter with strong ability to build rapport with guests and potential clients
\xc2\xb7 Self-motivated, decisive, responsible, and details oriented
\xc2\xb7 Strong interpersonal skills, exceptional oral and written communication skills in both French and English
\xc2\xb7 Excellent organizational skills with a High degree of professionalism and dedication
\xc2\xb7 Effective decision-making skills
\xc2\xb7 Proven problem-solving skills and encourage new innovative solutions when appropriate
\xc2\xb7 Experience in using sales, catering, and PMS systems
\xc2\xb7 Working knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)
\xc2\xb7 Ability to work flexible hours and meet the demands of the changing environment
