ROLE



ELM Developments is seeking a detail-oriented and motivated

Sales & Marketing Administrator

to join our team. Reporting to the

Sales and Marketing Director

, this role provides critical support to the sales, marketing, and decor departments, ensuring smooth operations across multiple projects.

The ideal candidate will have experience in residential real estate sales and marketing, paired with strong organizational and communication skills. You will play a central role in ensuring that sales offices, model suites, contracts, reporting, decor, and purchaser communications are executed with professionalism, accuracy, and efficiency.

KEY RESPONSIBILITIES



1. Sales



Provide daily support to the sales team, including contract preparation, purchaser correspondence, and CRM database management. Prepare, review, and distribute Agreements of Purchase and Sale, Amendments, and related documents. Enter purchaser information into the corporate database, ensuring accuracy and confidentiality, and prepare and maintain all purchaser files. Track and report on sales performance, deposits, incentives, closing schedules, and inventory status. Respond promptly and professionally to purchaser inquiries via phone and email. Oversee presentation centre and model suite operations, ensuring they are well-maintained and fully stocked with current materials. Ensure compliance with Tarion, HCRA, and other regulatory requirements. Assist in preparing weekly and monthly sales reports for management and external partners.

2. Marketing



Coordinate with the marketing team, media partners, and consultants on campaign execution, signage, print materials, digital content, and events. Maintain and update project websites, email campaigns, CRM tools, and all sales/marketing collateral (brochures, floorplans, renderings, price lists). Monitor marketing deliverables to ensure alignment with project milestones and sales launch schedules. Assist in preparing marketing reports for management and external stakeholders.

3. Decor



Serve as a central point of contact for purchasers and the design team throughout the decor process. Provide administrative support for decor studio operations, including appointment scheduling and purchaser selections. Maintain and update documentation for upgrades, finishes, colour charts, and extras, including compiling cost and revenue summaries Liaise with the interior design team to coordinate standard and upgrade finish selections. Work with vendors and construction teams to confirm availability, pricing, lead times, and delivery schedules. Track decor-related payments and monitor outstanding balances for closing coordination. Communicate construction updates to the design team to support timely purchaser selections. Support implementation of pricing increases or changes. Distribute final approved colour charts to all relevant trades.

4. Administration



Liaise with internal departments (construction, finance, legal) and external consultants (brokers, designers, agencies) to ensure seamless communication. Process invoices, manage reporting, and maintain organized filing systems, including review of invoices and budget tracking for sales and marketing activities. Provide general administrative support across sales, marketing, and decor functions. Assist senior management and sales representatives with additional tasks as needed.

QUALIFICATIONS



3+ years of experience in residential real estate sales, marketing, or decor administration (homebuilder or developer experience preferred). Strong knowledge of Tarion and HCRA compliance is an asset. Understanding of residential sales cycles, pre-construction processes, and buyer demographics. Proficiency with CRM systems, digital marketing platforms, and lead management tools. Highly organized with excellent time management, attention to detail, and communication skills. Ability to manage multiple projects simultaneously and collaborate effectively across departments. Familiarity with architectural drawings, construction materials, finishes, and design trends is an asset. Working knowledge of Agreements of Purchase and Sale, Amendments, and Condominium Documents. Proficiency in Microsoft Office Suite; experience with design software or project tracking tools is an asset. Professional, collaborative, and customer-focused approach with strong verbal and written communication skills. Ability to work both independently and as part of a team in a fast-paced environment. Patience, positive attitude, and the highest degree of honesty and professionalism.
