Administration offices available in Strahroy, Sarnia and Chatham (preferred location - Strathroy, Chatham)

Salary Range:

$46,922.00 - $58,653.00 (Commensurate with experience)

Job Function:





Responsible for assisting in the management of the Retail Lending administrative function. Ensures that assigned daily and periodic administrative functions associated with the processing, approval and servicing of lending products are completed in a timely and accurate manner.



Providing guidance and support to the team and advice staff with areas managed by this department. Trains new Retail Lending Experience Support employees and provide ongoing cross-training within department as needed.



Responsible for assisting in the management of the mortgage lending function including the preparation of legal documents pertaining to the registration of property, administration of the mortgage advance process, preparation of the discharge statements, preparation and management of mortgage renewal process including home equity lines of credit, property tax payment record keeping and reporting, insurance record keeping and reporting.

Duties & Responsibilities:





Assist the Operations Manager by acting as the team lead, providing guidance and technical support to team members to ensure the effective delivery of high-quality service to commercial advice staff. Acts as a key advisor to the Operations Manager in areas of retail lending experience. Acts as an internal resource on administration processes, including improvements and changes in an ongoing pursuit of overall process refinement and excellence. Maintains a thorough knowledge of policies and procedures as they pertain to the operations of Retail Lending. Ensures Commercial Advice staff adherence to all operating policies, procedures, and security requirements by monitoring new lending facilities and initiates action to rectify problems. Recommends changes for improvement to retail lending procedures, documentation, products, and services to strengthen the Credit Union's overall process for member excellence. Provide excellent client service to internal and external parties.


Centralized Retail Lending:



Acts as a subject matter expert in Preparing, controlling, and processing documentation for retail lending facilities. Liaise with solicitors to perfect security for new lending facilities. Execute funding of new facilities after ensuring receipt of all necessary documentation and information, and processing of appropriate fees. Initiates corrective actions to rectify problems to create excellent member experiences. Ensure all documentation and security is perfected and stored securely. Expert in creating, maintaining, and updating all commercial lending documentation and checklists. Manages Loan and Mortgage renewal process by preparing and processing of letters, documentation and updating banking system. Prepare commercial discharge statements, apply payout funds, discharge and release security, and update systems accordingly. Maintains and controls varies reports ensuring accuracy of all lending information on the banking system. Perform searches and sub searches in the review system. Manage the PPSA registration system to ensure security is properly registered and renewed and remittances made. Request and track insurance endorsements on chattels Ensure CLI /CDI insurance and Line of Credit insurance remittances are prepared and completed in a timely fashion. Tracking and Remittances of Mortgage Insurance Products Audits new facilities and changes to ensure accuracy. Perform other duties as assigned

Qualifications:

3 to 5 years of lending administration experience or equivalent Demonstrated ability to work collaboratively in a team environment. Post-secondary education in office administration or equivalent work experience. Previous legal administration work an asset.

Technical Skills:

Ability to manage electronic documentation and filing systems securely. Ability to train and cross-train team members on systems and procedures. Experience with banking and lending systems for processing, reporting, and auditing. Familiarity with registration systems (e.g., PPSA). Intermediate to advanced proficiency in Microsoft Word, Excel, and Adobe. Skilled in preparing and reviewing legal and financial documents. Strong balancing and reconciliation skills.
