We are looking for a reliable, detail-oriented Office Administrator with strong bookkeeping skills to manage day-to-day office operations. This is not a bookkeeping-only role. The right candidate must be comfortable handling admin, scheduling, dispatching, and coordination in a fast-paced environment.
This role is critical to keeping the office organized, jobs moving, and finances accurate.
Key Responsibilities:
Full-cycle bookkeeping support (AP, AR, invoicing, reconciliations)
Managing QuickBooks (or similar accounting software)
Job costing and tracking expenses
Dispatching and scheduling crews and vendors
Answering phones, emails, and coordinating with clients
Preparing reports, spreadsheets, and administrative documents
Supporting project managers and senior management
Maintaining organized digital and physical records
Requirements:
Formal education or strong training in bookkeeping/accounting
Proven experience with QuickBooks or similar software
Strong administrative and organizational skills
Ability to multitask and work independently
Comfortable working in a fast-paced, deadline-driven environment
Strong communication skills (written and verbal)
Experience in construction, restoration, or service-based industries is a strong asset.
