Job Summary:



The Scheduling Coordinator is responsible for planning, coordinating, and maintaining the daily and long-term schedules of school crossing guards across assigned locations. This role ensures that all posts are properly staffed, schedule changes are communicated promptly, and coverage is arranged in accordance with safety regulations, school calendars, and municipal guidelines. The ideal candidate is highly organized, responsive, and capable of managing logistics across multiple locations and personnel.

Key Responsibilities:



Create, maintain, and adjust schedules for crossing guards at various school zones Coordinate with internal teams and external partners to confirm availability and deadlines Monitor coverage needs and promptly fill absences, book -off's or shift changes Respond to scheduling conflicts or changes in a timely and professional manner Communicate regularly with crossing guards and supervisor to confirm staffing needs and adjust for school holidays, weather events and PA Days. Ensure compliance with labor laws, staffing requirements, and organizational policies Track and log attendance, shift changes, and incidents using scheduling software or spreadsheets Use scheduling software (TrackTik) or tools to manage calendars, bookings, and appointments. Assist with onboarding schedules for new hires and coordinate training schedules with supervisors Prepare and submit coverage reports and scheduling documentation to management Communicate schedule updates and changes clearly to all relevant parties Prepare daily, weekly, and monthly scheduling reports as required Strong interpersonal skills and demonstrated ability to build relationships with internal & external stakeholders Support administrative tasks related to operations as needed

Desired Skills & Attributes



High school diploma or equivalent required; additional administrative or scheduling training preferred

Prior experience in staff scheduling, logistics coordination, or administrative support (1+ years preferred)

Proficiency in Microsoft Office (especially Excel and Outlook); experience with scheduling software is a plus

Excellent communication and interpersonal skills

Strong attention to detail, time management, and problem-solving abilities

Ability to work in a fast-paced, reactive environment with multiple moving parts

Familiarity with the geographic area and local school systems is preferred.
