Overview


We are seeking a dedicated and experienced

Residential Property Manager

to oversee and manage our residential properties. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and a solid understanding of property management practices. This role is crucial in maintaining high occupancy rates and ensuring tenant satisfaction while managing the operational aspects of the properties.

Position Overview



The

Property Coordinator

supports the property management and leasing teams through administrative excellence, accurate property advertising, and superior communication. This position plays a key role in ensuring listings are current and engaging, furnished inventories are properly tracked, and owner and tenant relations are managed efficiently.

This is a highly administrative and phone-based role -- requiring strong interpersonal, technological, and multitasking abilities.

Key Responsibilities



1. Leasing & Marketing Support



Create, update, and maintain accurate property listings across multiple platforms (Rentfaster, company website, Facebook, etc.). Ensure all ad details -- pricing, availability, photos, and descriptions -- are current, compelling, and error-free. Monitor ad performance, adjust strategies, and prepare weekly advertising and vacancy reports. Assist with furnished suite marketing -- ensuring furniture inventories and amenity lists align with ads and on-site conditions. Support leasing initiatives with accurate data entry, inquiry tracking, and lead follow-up.

2. Furnished Inventory



Maintain an up-to-date database of all furnished inventory, including condition tracking and replacement schedules. Coordinate with cleaning, maintenance, and staging teams to ensure furnished suites are guest-ready. Manage or support short-term listings (Airbnb experience considered a strong asset). Oversee check-in/check-out documentation, photo records, and damage reporting for furnished and short-term units.

3. Administrative & Tenant Coordination



Act as the primary contact for tenant inquiries, service requests, and general communications. Prepare leases, renewals, rent increase notices, and other documents in compliance with company policies and provincial legislation. Schedule and coordinate move-ins/outs, key handoffs, inspections, and file updates. Maintain organized digital and physical tenant files with accuracy and attention to confidentiality.

4. Reporting & Owner Support



Generate and distribute reports on: Advertising performance and inquiries Rent roll and owner statements Vacancy and lease renewals Track and communicate unit status, upcoming renewals, and owner approvals for renewals or project work. Assist in preparing owner update packages and summaries.

5. Maintenance & Vendor Coordination



Create and track maintenance work orders; follow up with tenants and vendors for timely completion. Manage vendor scheduling and access coordination. Reconcile invoices within portfolio and ensure accurate recordkeeping. Maintain the maintenance board and update internal systems daily.

6. Operational Excellence



Support Property Manager
Use internal tools (Buildium, Monday.com, etc.) to manage workflows, track progress, and maintain transparency across departments.

Contribute to continuous improvement of administrative systems and communication practices. Escalate issues or delays promptly to the Property Manager.

Qualifications



Vehicle is required. 2+ years of experience in property management, leasing coordination, or real estate administration preferred. Month end availability is required. Strong attention to detail and accuracy in data, ads, and documentation. Experience with short-term rental platforms (e.g., Airbnb) is a strong asset. Tech-savvy and proficient in property management software (Buildium, Yardi, or similar), Microsoft Office, and online advertising platforms. Exceptional communication, interpersonal, and multitasking skills. Ability to prioritize competing tasks and manage time effectively in a fast-paced environment. Knowledge of the Residential Tenancies Act and leasing best practices.
