About the Position

Residence Life creates an engaging, and holistic student experience that focuses on lifelong success as a result of the connections to Residence and the Student Life community at Lethbridge College. We do this by delivering exceptional service and promoting a safe, inclusive, and engaging campus community. This position is responsible for all operational services at Lethbridge College\'s Residence which houses 549 students in 247 units during the academic year. During the Spring and Summer months, Residence Life operates as a hotel providing short-term conferencing and long-term rentals. Working closely with the Cleaning Supervisor and the Residence Maintenance team to evaluate and recommend improvements and renovation needs, as well as ongoing replacement planning for furnishings and other items.

Residence Life operations oversee the collection of \'move in\' and \'move out\' inspection documentation. In addition to this, any damage that occurs during a rental period is assessed and billed to those responsible. It is this person who may be required to investigate the causes and suggest solutions to reduce similar situations later. Monitoring the condition of our units and contents is integral to the planning work required. Overseeing key control and work order submissions, this person must focus on the safety of residents and our facilities in all interactions and recommendations. Billing requirements for move out can be demanding, as some units fall under RTA for a quick turnaround time in refunding deposits.

This position is also responsible for reviewing and following up with rent reports and Residence rent deferments on an ongoing and monthly basis to ensure that payments are made on time. This requires one to one meetings with students to determine what is acceptable and manageable related to Lethbridge College and Residence policies and operating procedures, as well as recommending disciplinary action for non-payment of rent.

Record keeping for access control of keys and electronic fobs must be kept up to date with many changes throughout the year. Utilizing the Adirondack Suite- THD to keep electronic records of billing history, unit condition reports, tracking emails, reviewing reports, etc., is integral to Residence operations. The work order system Fiix is also overseen by this position. Utilizing this system to increase our ability for tracking work completed and setting up task lists for specific time of year work to be completed will be a focus.

Partnerships with Facilities Maintenance are essential for summer renewal work and planning. Regular meetings are scheduled to keep communication lines open and advocate for Residence needs. As the prime contact between residents and maintenance requests, this position is responsible for providing excellent communication, customer service, as well as attention to processes and requirements in a post-secondary housing market.

Position Details

  • Communications- lead discussions on priorities for Residence building planning with Facilities, Maintenance & Housekeeping teams, students, and contractors.
  • Planning/ Purchasing - Evaluate Residence needs with the help of move in Unit Condition reports, FIIX work order reports, and student feedback in order to monitor and update replacement/ planning document. Purchase inventory and stock, creating requisitions and purchase orders.
  • Operational needs- Key control, pest control, and other overseeing contractors - tracking, monitoring, and evaluating work.
  • Report building & review -insurance requirement reporting, occupancy stats, application numbers, THD student reports.
  • Publications for residents creation of memos in regards to grounds, cleaning plans, cleaning guides, billing costs lists, troubleshooting guides, maintenance guide, entering units forms, re-keying forms, while you were out forms, handbook, etc.
  • Emergency response -to a variety of potential incidents with buildings or people.
Required Qualifications
  • University Degree in Social Sciences, Humanities, Business or other related field; combination of education and experience may be considered
  • Excellent interpersonal skills and the ability to develop and foster relationships
  • Exceptional organizational skills
  • Strong written and oral communication skills
  • Demonstrated proficiency in the use of Microsoft Office; ability to learn and operate residence software
Preferred Qualifications
  • A minimum 2 year college program with relevant experience will be considered
  • Experience within a post secondary environment
Salary AUPE Class Level 9 Step 1 $49,180.45 per annum.
