Position Overview

The Albert Children\'s Hospital Research Institute in the Cumming School of Medicine invites applications for an Executive Administrator. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

The Ward of the 21st Century (W21C) is a research and innovation initiative based at the University of Calgary Cumming School of Medicine and the O\'Brien Institute for Public Health. W21C is recruiting an experienced Research Project Coordinator to support the Optimizing the Management of Staphylococcus aureus Bacteremia (OPTIMUS-SAB) Project.

Reporting to the Research Manager.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Project Coordination

Manages all aspects of the project, ensuring they are completed on time, on budget, within scope and in compliance with ethical requirements and good clinical practices for research

Develops detailed project plans to monitor and track progress

Tracks project performance (successful completion of short and long-term goals) and support all grant related required reporting

Works with Project Leads, team members, and other stakeholders to anticipate and develop contingency plans to ensure that milestones are met

Supports the Project Leads and project team members to ensure a consistent flow of information between stakeholders

Establishes and maintain relationships with third parties/vendors. Supports Project Leads and SCN in negotiating and setting up contracts with appropriate vendors

Develops comprehensive project plans to be shared with clients as well as other staff members

Develops spreadsheets, diagrams and process maps to document needs, and supports development of project reports, presentations and knowledge translation materials for the grant

Creates and maintains comprehensive project documentation

Manages and participates in project and stakeholder meetings as needed

Supports the team to create and execute communication and engagement plans

Provides direct meeting planning, agenda development, minuting, and appropriate follow up on meeting item

Research Coordination & Grant Management

Supports the submission of ethics applications and manages amendments, annual reporting, and close out reports

Supports Project Leads in managing grant funds and works with the Alberta Innovates, SCN, AHS and University finance and accounting departments to submit, track, and report on expenses

Collaborates with key stakeholders to ensure appropriate privacy/data access agreements are negotiated and in place

Generates and writes ongoing project summaries and action plans for both research and operational purposes

Generates written reports as required for Alberta Innovates, University of Alberta, Medicine SCN and AHS

Liaises with Alberta Innovates (the funder) and completes grant cost reporting according to established Alberta Innovates timelines

Supports the team in prospectively or retrospectively collecting and entering data, requesting and/or acquiring data, and managing data sets for the main project and sub-studies and conducting surveys and focus group interviews as needed

Qualifications / Requirements:

  • Bachelors degree in a relevant field (e.g. Public Health, Community Health Sciences)
  • Minimum of 5 years of experience managing health services research projects and grants within academic research and/or healthcare setting
  • A clear understanding and experience working with Health Information Act, Tri-Council policies for the Ethical Conduct of Research Involving Humans (TCPS 2)
  • Experience with submitting and managing ethics applications, negotiating data sharing agreements, and managing grant budgets
  • Strong verbal and written communication skills
  • Detail-oriented, thorough, accurate
  • Excellent planning, organizational and time management skills
  • Strong problem-solving, sound judgment and decision-making skills
  • Advanced skills using Microsoft Office suite (including MS Project, Visio, Word, Excel, and PowerPoint)
  • Ability to work independently with limited supervision, under pressure with adherence to firm deadlines
