DescriptionThe O\'Brien Institute for Public Health in the Cumming School of Medicine invites applications for an Events & Communications Coordinator. This Full-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.Reports to the Health Policy Manager within the O\' Brien Institute for Public Health. The role may require some after-hours work that includes offsite meetings with partners, members, and community, and a physical presence at special events, which may take place on- or off-site. Some physical activity may be necessary (e.g., moving furniture, carrying boxes of materials, clean-up, etc.) depending on the nature of the events.Summary of Key Responsibilities (job functions include but are not limited to):Events

  • Effectively plan, organize and stage a variety of events
  • Coordinate the logistical and strategic requirement of each event from promotional materials, booking guest speakers, contacting external collaborating organizations, catering, venue booking, and travel and accommodation booking for guests
  • Draft the contents of any materials required for events, including agendas, backgrounders, etc.
  • Coordinate photography, graphic design, audio/video production, and social media activities for events, as required
  • In consultation with leadership, develop, submit, and adhere to a budget for each event
  • When necessary, participate in fund development activities to resource events
  • Coordinate volunteers and staff for special events and activities
  • When necessary, set-up and clean-up event venues
Communications
  • Identify and develop opportunities to promote the work of the Centre (opinion/editorial articles, media releases, etc.)
  • Draft written reports, oral presentations, summaries, and funding applications
  • Write and edit articles, event materials, brochures, fact sheets, reports, etc.
  • Update and maintain the Centre\'s website content and social media presence
  • Maintain mailing list and create content for the Centre\'s newsletter
  • Facilitate meetings and relationships with university and community partners
  • Demonstrate excellent interpersonal skills, working on a dynamic team to handle competing demands in a fast-paced, challenging environment
  • Demonstrate a high degree of professionalism in dealing with urgent requests, sensitive information, and situations of conflict
  • Ensure the on-time delivery, and high quality, of communication products and initiatives
Administration
  • Anticipate needs of the Centre for Health Policy, and support senior leaders in operationalizing required meetings, communications, events, and documentation
  • Submit invoices for payment, track, submit, and reconcile expenses, support leadership in the generation of financial reports
  • Assist in data capture for impact assessment and measures of success
  • Support other members of the Centre where needed and appropriate
Qualifications / Requirements:
  • Post-secondary degree required, Master\'s degree preferred (preferably in either health sciences, social sciences, or other related fields or communications, public relations, or journalism)
  • Experience with university research programs
  • Experience with community relations an asset
  • Minimum of 3 years related experience in each of the following areas:
  • Experience in planning and delivering complex communication campaigns
  • Experience in event planning and implementation
  • Experience in operational administration including planning, executing and minuting meetings
  • Experience in both academic and non-academic writing
  • Demonstrably excellent written and verbal communication skills in a variety of formats and to a variety of audiences
  • Experience or knowledge of government communications a strong asset
  • Strong interpersonal skills with an ability to work independently and as a team player
  • Proficiency with web publishing tools, such as Drupal or WordPress and graphic design tools, such as Adobe suite. A basic understanding of HTML considered as asset
  • Proficiency in the management of social media channels and campaigns
  • Experience managing databases, tracking analytics and using those tools to better inform Institute communications efforts
  • Experience in consuming and analyzing scientific papers and research literature, and/or acquainted with health care terminology, socio-economic issues, and policy as it relates to public health. Ability to convert scientific papers into public facing content
