Position Description
We are looking for a Research Program Manager to join our team! Are you a dynamic individual who is eager to learn or expand on current skill sets within research administration? The PM role will help develop and execute strategic vision for the Research Program through diverse program activities, managing staff and budgets, financial I budgetary analysis and planning for future sustainability, and fostering relationships with program members, as well as internal and external community stakeholders. List of Duties and Responsibilities: Leadership:
Develops Research Program goals, objectives and strategic vision in conjunction with the PI;
Problem-solves ongoing issues and establishes Program standards and policies to set "norms" of practice to avoid ambiguity and reduce recurrent problems;
Recommends, develops and carries out improvements to the Program and its activities to meet changing requirements and ensure the Research Program continues to meet its members\' needs;
Responsible for conception of the Program Web site, including the establishment of editorial standards, creation and management of content, creative site design, and successful implementation of the site;
Develops and executes key Program activities, including: o Scientific Retreats for Program members. o Research Symposia for International/National/Provincial/markets.
o 1-2 year timeline for larger Symposia of up to 400 participants. o Quartlerly Program business meetings. o Trainee events. o Applies comprehensive knowledge of Program objectives to develop program activities and evaluate activity/program effectiveness to ensure strategic vision is achieved(i.e. ensure activities reflect Program richness and diversity);
Performs strategic and long-term planning, including financial analysis, to drive the Program forward to reach its objectives;
Oversees and supports the writing of funding applications for Program researchers and teams for infrastructure and salary support applications to major external agencies including, but not limited to, the Canadian Foundation for Innovation (CFI) and the Canadian Institutes for Health Research (CIHR).
Management:
Analyzes Program goals and objectives to develop appropriate plan of action to address needs, fill in gaps, and roll-out quality improvement initiatives;
Manages events as well as the day-to-day operations of budgeting, planning and logistics, and communications to ensure Program goals and objectives are met;
Plans, organizes, administers, reviews and evaluates work of professional, technical, support and operational staff as required (e.g. renovations, temporary administrative staff, staff/lab moves);
Plans and conducts internal and external meetings as required;
Develops, organizes and executes the Research Program\'s regular meetings (e.g. scientific themes, speakers, presentations, logistics, etc);
Negotiates, develops, monitors and administers a variety of contracts and agreements with vendors, suppliers, contract workers, etc.
Develops systems and maintains records that provide for the proper evaluation, control and documentation of assigned activities and overall Program success;
Manages and implements diverse scientific activities to ensure Program success, including annual scientific retreat, mini-symposia, trainee events and business meetings;
Provides operational/administration perspective in the recruiting of senior scientific members to the Research Program, as required;
Recruits, hires and manages staff of the Research Program. Acts as a resource for staff daily, as well as liaises with Human Resources management team to resolve administrative needs of the Program and ensure its member\'s administrative needs are being met. Acts as a resource during the performance review process and discipline of staff, up to and including termination.
Communication:
Maintains links with Sick Kids and funds/associations affiliated with the Program to promote dissemination of information.
Coordinates outreach and collaborative events with clinical groups to promote translational research.
Involved in grant writing and editing for team-centered grants as well as managing timelines and activities to ensure all funding agency requirements are met;
Provides guidance and support to scientific staff as needed through grants management and coordination of resources;
Participates in both internal and external fundraising and awareness initiatives and events as a representative of the Program:
Liaises with Sick Kids Foundation and the relevant Centres to promote fundraising initiatives for the Research Program and research in general.
Investigates, evaluates and recommends training, professional development, collaboration and promotional opportunities that are consistent with Program\'s goals and needs;
Constructs a variety of written correspondence, reports, procedures, directives and other materials to keep members and the research community aware of activities of the Program.
Financial Management:
Manages budgets for various programs/projects/ grant funds in conjunction with the Program Head (i.e. manages cost centres; makes decisions around the allocation of funds; has signing authority).
Oversees financial well-being of Program by analyzing cost effectiveness and exercising cost control;
Anticipates and resolves financial queries;
Accountable for resource allocation of funds, staff, equipment and services delivered;
Liaises with Research Accounting Department on a regular basis in order to ensure accuracy of financial reporting;Maintains, establishes and continuously improves internal controls in accordance with the Research institute guidelines.
Minimum Education Required:
Master\'s degree in a Health Science/Administration or a related field or equivalent combination of education and experience in program management.
Professional Registration Required:
Previous Job-Related Experience Required:
Project Management Professional (PMP) designation or equivalent is an asset
Prior experience in an academic and/or health care setting preferred
Minimum 5 years related experience (includes work experience during educational process), working in an administrative capacity ideally in a research environment, leading complex strategic projects with competing priorities.
Special Skills/Aptitudes Required:
Experience in budget management including understanding accounting principles.
Demonstrated ability to build strong and collaborative relationships with many and varied stakeholders internally and externally.
Proficient computer skills including Microsoft Office (Outlook, Excel, Word, PowerPoint).
Exceptional interpersonal and communication skills, both verbal and written;
Self motivated and proactive with an ability to organize and prioritize workflow;
Able to take initiative in dealing with program related issues;
Able to develop, create, evaluate and implement effective goals and objectives;
Strong management skills and able to cope with pressure and multiple competing deadlines;
Able to lead meetings and present to individuals or groups;
Interacts with members of the Research Institute, Sick Kids colleagues and external Agencies in a consistently professional manner;
Demonstrated experience in managing projects, budgets and staff.
Knowledge of research funding opportunities, eligibility criteria, budget management, and required elements for grant applications would be an asset
