Your opportunity:

The Arts & Science Office of Research Services supports the growth and expansion of funded research, scholarly and creative activities in Arts & Science. Our goal is to help researchers access the resources and supports that are needed to conduct world-class cutting-edge research, and to promote the research excellence of A&S research community members.

As a key member of the Arts & Science Office of Research Services team, the Research Operations Coordinator will be dedicated to overseeing several administrative processes in the Arts & Science Office of Research Services, as well as creating and managing the annual schedule of administrative projects. Under the supervision of the Director, Research Services and working collaboratively with the entire team, you will make valuable contributions to the establishment of sustainable and well-organized research administrative services and operations. In this role, you will also work in coordination with other Offices of the Dean, including Faculty Budget, Planning and Finance, Communications, Information and Instructional Technology, and Infrastructure & Planning. The incumbent will administer internal research funding programs, support the preparation of annual research reports and other data-intensive strategic planning documents, and contribute to large administrative process improvement exercises. Additional tasks include website monitoring and updates, preparing correspondence for academic leaders, management of the research inbox and the Research Services SharePoint Platform (access and content management), supporting the Director with calendar management, expense claim processing, supports space management, and event coordination.

Your responsibilities will include:

  • Analyzing administrative processes and procedures and recommending changes for improvement
  • Coordinating tasks for projects and other strategic initiatives with stakeholders
  • Liaising with contacts to ensure consistent administration procedures are followed
  • Maintaining a database of awards information and decisions
  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Determining logistical details and activities for events and/or programming
  • Overseeing day-to-day operational needs and service delivery requirements of programs
  • Acting as the primary contact for enquiries pertaining to funding opportunities as well as pre and post award matters
Essential Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum five years of recent and relevant administrative experience, in a university setting.
  • Demonstrated experience supporting senior committees, including proficiency in taking complex minutes independently.
  • Experience providing support with development of new administrative procedures and processes, including administrative systems and databases.
  • Demonstrated proficiency and expertise with the full range of Office 365 programs (SharePoint; Teams; OneDrive; OneNote; Word; Excel; etc.)
  • Proven flexibility and adaptability to work as a cohesive team member within a deadline-oriented office with constantly changing work-flow, and with the ability to prioritize own work demands.
  • Skilled in dealing courteously, in a service-oriented fashion, with all individuals, with the ability to consistently exercise a high degree of tact, discretion, good judgement, compassion, sensitivity and professionalism, with extreme attention to detail, and maintaining strict confidentiality at all times.
  • Outstanding written and verbal communication skills, including a robust understanding and facility with a range of social media and website content management systems.

  • Robust understanding of University research- and ethics-related topics and terminologies, and the University of Toronto\'s range of research administration systems.
