Your opportunity:

Under the direction of the Manager, Finance and HR Administration, the Research Grants and Finance Assistant plays a key role in the efficient and accountable administration of the Department of Physics in the areas of accounting, grants management, and payroll. The position is responsible for providing financial, human resources, and research grant services to the Department, including monitoring activities (revenues, cost recoveries, and expenses)in operating and funding accounts for research grants and contracts, payroll processing, processing financial transactions, preparing invoices for cost recovery, cash management, and the administration of hiring processes and personnel files for casual staff. The Research Grants and Finance Assistant acts as a point of contact concerning a broad range of financial and human resource matters requiring the provision of information to principal investigators, students, and staff regarding financial, procurement, and employment policies.

Your responsibilities will include:

Forecasting, planning and monitoring multiple complex budgets

Monitoring, recording, reconciling and/or reporting on funding accounts for grants and contracts

Applying the University Guide to Financial Management and other applicable policies, agency and regulatory requirements

Transferring funds and expenditures within the context of an overall plan

Processing accounts receivable according to the University Guide to Financial Management

Processing payroll

Handling sensitive and/or confidential information

Keeping well-informed on purchasing and/or procurement policies and procedures

Essential Qualifications:

  • Bachelor's Degree in Business/Accounting or acceptable equivalent combination of education and experience.
  • Minimum four years recent and related experience in maintaining financial accounts, monitoring expenditure and recoveries, reconciling statement/accounts, administrating payroll and administrating research grants, in a post-secondary institution
  • Experience working with the University of Toronto's Guide to Financial Management (GTFM), including its financial and procurement processes
  • Experience in managing funding accounts and budget, coordinating research grant funding application submission and tracking project progress
  • Experience in processing payroll, including stipends and honoraria
  • Demonstrated experience working directly with granting agencies (including MITACS, NSERC, NSF and OCE), and interpreting/applying granting agency rules and regulations
  • Experience posting and processing financial transactions related to accounts receivables, account payables, and reconciling accounts
  • Experience with producing and managing complex financial reporting
  • Advanced skills in HRIS, FIS, RIS, DIS, AMS or other related systems/Database
  • Strong knowledge of financial accounting principles
  • In-depth knowledge of University's financial and research policies and procedures
  • Knoweldge of Univesity's collective agreement
  • Strong computer skills including Windows, Word and Excel
  • Strong ability to process sound judgement and dealwith sensitive/confidential information
  • Excellent interpersonal and communication (verbal and written) skills
  • Excellent analytical and problem solving skills
  • Strong fiscal management skills
