Research Clinic and Patient Assistant

Primary Purpose: To manage scheduling of clients for the Rural & Remote Memory Clinic (RRMC), coordinating clinic dates with RRMC team members, communicating with clients regarding appointments dates, scheduling video conferencing and telehealth appointments, managing charts, coordinating tests, etc. Triage is needed for when and how to schedule appointments and triage is required when families call with urgent problems. Must be able to complete a medical history and review medications. Details about duties are provided below.

Nature of Work: The RRMC is typically a full-day assessment where two new clients and their families are seen in-person by an interdisciplinary team, with follow-up appointments conducted via telehealth. Since the onset of the pandemic the clinic has been delivered virtually. We plan to return to in-person appointments, and possibly a hybrid model, when safe to do so. The RRMC is held in designated space within the Canadian Centre for Health & Safety in Agriculture (CCHSA), located in Health Sciences E Wing. The clinics are held on Wednesdays. The Clinic Nurse also has an office within the CCHSA. This position reports to the Clinic Director. The position is half-time. Considerable judgement, discretion, and decision-making is required. No travel, shift work, or week-end work is required.

Accountabilities:

  • Obtaining referrals from fax/clinic neurologist's office for review by specialist, triaging appointments, then scheduling appointments
  • Contacting patients/families via phone calls notifying them of appointments - initial and follow-up, confirming appointments via phone/email/mail, coordinating/rebooking cancellations
  • Contacting referring physician's office if referral information incomplete
  • Scheduling video conferencing including PEXIP videos and completing Telehealth on-line booking forms
  • Fielding phone calls from families and patients and taking care of issues as they arise; triage for follow-up by team vs primary healthcare provider vs local emergency department
  • Chart preparation and filing
  • Mailing/emailing or faxing bloodwork/ECG requisitions to patients to obtain prior to visit
  • Obtaining health information and medications of patients prior to appointment
  • Working with multidisciplinary team members - Neurology, Psychology, and other team members to coordinate scheduling dates, updating on clinic processes
  • Coordinating/monitoring tests ordered - CT scans, MRI, PET, etc and once these tests conducted then follow-up bookings required
  • Monitoring Exceptional Drugs Status coverage dates for renewal and booking follow-ups for patients accordingly
  • Dealing with various departments including Radiology, Test Centre, RUH Admitting, Telehealth Saskatchewan and the various sites throughout the province
  • Updating EXCEL files for project database
  • Assisting team members and students with research project data collection
  • Communicating with Alzheimer's Society of Saskatchewan about current programing to share with clients and families
  • Communicating with SGI if reports are requested
  • Monitoring neuropsychology reports completion for sending to family physician and clinic neurologist for follow-up appointment on annual reviews
  • Weekly meeting with clinic neurologist's receptionist to organize clinic for the week
  • Coordination of Memory Clinic day activities - navigating patients as needed through RUH/Health Sciences building, obtaining consents, informing patients/families of the day's activities, questionnaire administration, guiding patients and team members throughout the day
  • Obtaining consent from patient/families
  • Assisting with completing questionnaires for the clinic
Education: Health care professional degree (e.g., registered nurse, social worker).

Experience: At least three years' experience supporting a high functioning research team. Direct experience in a similar clinical setting is preferred. Experience working with individuals with dementia and family members is an asset but not essential. Experience working and collaborating in a diverse and inclusive environment is required.

Skills: Ability to work independently to manage clinic activities, as well as in a team environment, and with clients and their families is required. Exceptional organizational skills are essential as this position is responsible for coordinating patient visits with a team of clinicians. The incumbent will demonstrate effective communication and interpersonal skills, and strong attention to detail and accuracy in successfully carrying out their role.

Experience with MS Office 365 (Word/Excel), experience with: PexIP/SHA Virtual Care, TeleHealth, Zoom Meetings, and familiarity with other university/health authority systems and procedures is an asset.
