Job Description

The Knowledge Translation Program (KTP) is currently looking for a Research Assistant II (RA) to support the dynamic and growing Central Team Unit in a full time (1.0 FTE) position. This unit is responsible for the operational and day to day functions of the KTP. This role will require interaction with team members from different positions, staff from other departments across the hospital, researchers/scientists, and funding agencies. The RA will also directly support the KTP Research Program Manager (RPM). The incumbent will support the contracts, finance, human resources and central administrative processes while working in a team to carry out RPM communication and directives. The RA will need to have a high level of attention to detail, yet be adaptable in a fast-paced working environment. Duties/Responsibilities:

Clerical/Support 70%

  • Coordinates communication between internal and external members (i.e. emails, phone calls, sending monthly updates and announcements)
  • Coordinates the execution of various types of contracts (i.e., submit contract intakes forms, monitor contract status, and support both contract parties to efficiently execute the contract in a timely manner)
  • Communicates frequently with Contracts Office, Accounts Payable and Office of Research Administration
  • Prepares activity request forms to open accounts tied to incoming funds
  • Creates invoices for project payment
  • Creates and manages databases of contracts, invoices, and payment reconciliations
  • Assists in HR and finance work
  • Creates presentations for webinars, scientific meetings, and conferences
  • Assists with tracking and updating central administration processes
Research Activities 30%
  • Assists RPM with formatting documents, presentations, reports (including the use of reference citation management software)
  • Assists with guideline, policy and standard operation procedures (SOP) development in the program
  • Assists with administration of proposals or grant applications as needed
  • Engages with various aspects of new and current initiatives including anti-racism working groups
  • Creates documentation such as protocol briefs, research briefs, reports, and abstracts
  • Prepares forms (i.e. reimbursement forms, REB applications,)
  • Regularly acts as a liaison and communicates with other KTP teams (KS, TIES,CLEAR) on behalf of RPM to carry out directives
  • Organizes day to day initiatives and special events such as booking venues, equipment, catering and printing materials
Qualifications, Knowledge and Skills:
  • Bachelor's degree in Public Health Sciences, Social Sciences (e.g. [medical] sociology, [medical] anthropology, psychology), Bioethics, Clinical Sciences (e.g. nursing, social work, allied health) or a related field is an asset or demonstrable equivalent combination of specialized education and experience is preferred
  • 2 years of progressively responsible office administrative experience, preferably in a fast paced research health care setting
  • Excellent verbal and written communication skills, excellent interpersonal skills
  • Demonstrated ability to prioritize and manage multiple deliverables simultaneously
  • Experience in formatting and preparing presentations, reports, and papers
  • Ability to work in a diverse team environment
  • Strong ability to work to in a high paced work environment
  • Computer proficiency in all Microsoft applications (Word, PowerPoint, Outlook and Excel)
  • Demonstrated ability to work both independently and as part of a team
  • Exceptional organizational skills
  • Excellent attention to detail
  • Ability to work discretely with and protect confidential information required
  • Ability to use good judgement in assessing difficult situations required
  • Demonstrated ability to work under pressure while being able to organize and handle time pressure
