The Police Services Records Management System (RMS) Coordinator position is the primary resource for the records management system and the computer automated dispatch (CAD) system in the Kelowna Regional Detachment for all Kelowna Police Professionals. The coordinator is responsible for the development and maintenance of the workflow and business processes, provides user training, conducts and supplies reports / data, maintains the related unit supplemental policies, and provides support to all Kelowna Police Professionals.Duties
1. Records Management System - Oversight:

  • Develops, evaluates, recommends and audits workflow, maintains user rights, monitors queue management;
  • Develops unit supplemental policies and business rules, troubleshoots issues, completes change requests, communicates policy and coordinates system changes and upgrades and;
  • Maintains mapping system.
2. Records Management System - Maintenance:
  • Monitors Master Name Index; takes corrective action as required;
  • Conduct audits and browses of RMS; takes corrective action as required;
  • Modifies and deletes electronic files in accordance with established policy and;
  • Assists with the Record Supervisor Handle responsibilities.
3. Computer Automated Dispatch:
  • Develops unit supplemental policies and business rules, troubleshoots issues, completes change requests;
  • Maintains user rights;
  • Maintains CAD Hazards and;
  • Communicates policy and system changes.
4. User Training:
  • Provides assistance and support to RMS users;
  • Prepares manuals, reference material, lesson plans and delivers training and;
  • Processes Canadian Centre for Justice Statistics (CCJS) Error reports, creates and completes system browses to identify areas of concern.
5. Support to Police Professionals:
  • Extrapolates information, reports and browses;
  • Researches, disseminates and implements all national, divisional and unit supplemental policy;
  • Serves as the detachment representative on internal and external committees and working groups for system development, testing and implementation and;
  • Provides support to the Police Services units and performs related work as required.
Qualifications
Knowledge: Records Management System subject matter expert. Extensive experience with researching and interpreting RCMP, PRIME BC, Statistics Canada policies. Possess a sound knowledge of Criminal Code of Canada, Federal, Provincial and Municipal statutes, UCR and OSR. Requires knowledge and practical experience in the RCMP records management systems, computer systems (CPIC, LEIP, IQT, NCDB) and Microsoft Office Products (Word, Excel, Visio, PowerPoint). Must have sound working knowledge and understanding of the positions within the Kelowna Regional Detachment to provide proper access rights to the Records Management System.Skills & Abilities: Research, analytical, and problem solving skills, excellent consultation, negotiation, interpersonal skills and the ability to design and deliver effective and professional presentations. Requires strong organizational skills and the ability to meet deadlines and handle a significant work load as well as a demonstrated initiative and ability to work in an independent manner while functioning as a part of the Detachment team.
