Job Summary

Under supervision of the Administrative Coordinator, this position maintains the records management system of the Department and performs administration duties as assigned.


Duties & Responsibilities

  • Maintains the records management system of the Department to ensure that it meets the statutory obligations for City records.
  • Maintains a current and accurate computerized index of all official Department records using Documentum Records Management software.
  • Responds to requests from Department staff by researching and retrieving information and files.
  • Analyzes and identifies records to determine appropriate classification and retention. Recommends which records should be retained on site, transferred or destroyed in accordance with retention schedules.
  • Performs inventory reviews and audits of Departmental record holdings and prepares inventory lists.
  • Evaluates and recommends improvements for Department Records and Information Management policies, processes and procedures.
  • Implements usage of the Electronic Records Management System and non-electronic information management systems of the Department.
  • Trains staff in the use of the Electronic Records Management System and develops and maintains training materials for the Corporate Records Management System, including processes unique to the Department.
  • Processes the payment of all invoices and fees for the Department.
  • Assists with the evaluation, customization and enhancement of the Department\xe2\x80\x99s Electronic Records Management System.
  • Assists with the maintenance of the Department\xe2\x80\x99s website, including implementing approved changes, as required.
  • Assists with the Corporate cheque printing process, including ensuring proper security and controls exist, maintaining audit logs, and administering proper cheque distribution.
  • Assists with all administrative aspects of the Department.
  • Performs other related duties as assigned.



Qualifications
  • Grade 12 education.
  • Successful completion of one-year post-secondary business-related program.
  • Two years\xe2\x80\x99 related office experience, including experience in electronic records management software.
  • Knowledge of electronic records management software, implementation, terminology, principles and procedures.
  • Knowledge of records and information management policies, procedures, practices and systems.
  • Knowledge of legislation pertaining to the management of municipal records.
  • Ability to establish and maintain effective working relationships.
  • Ability to work with minimal supervision.
  • Ability to maintain a high level of confidentiality.
  • Ability to make decisions in accordance with established policies and procedures.
  • Demonstrated skill in the use of a computer with Microsoft Office and records management software (i.e. Documentum).



Additional Requirements

Weekly Hours: 36.67
Salary Range: $54,068.40 to $59,610.00 CAD per annum (2023 rates)
