RECORDS MANAGEMENT REPRESENTATIVE

LEARNER EXPERIENCE

A keen eye for detail, impeccable organizational skills and the ability to work in a fast-paced environment are key factors to success in this role.

You will be responsible for ensuring accuracy and processing changes to registration, data entry of student information, application and records, grading administration, credential issuance, and transcript production. You will use system data and reporting tools to monitor registered student activities and provide recommendations for process improvements while working closely with other members of the Student Records unit to ensure effective functioning of the unit. HOW YOU\'LL MAKE A DIFFERENCE

  • Manage and maintain accurate student records, including contact information and name changes, in PeopleSoft.
  • Accurately enter and waitlist applications for the LINC program.
  • Maintain corrections and record updates, including program/plan changes & withdrawals for the LINC program.
  • Maintain accurate record of students with third-party funding or sponsorships. Work with Accounts Receivable to ensure they have correct invoicing information.
  • Assist Student Financials with Financial aid forms, verifying full/part time study and start and end dates for students.
  • Audit registration information to ensure accurate registration processing for the LINC program.
  • Ensure new and returning students have accurate login information including running queries to generate OP1/OP6 letters with student\xe2\x80\x99s login information and ensuring these get mailed out to students that have had their email bounce back.
  • Perform records retention, archive, and destruction in accordance with college policies and Records Management best practices.
  • Process student program withdrawals initiated by students, international agents, and program areas from all college programs, credit and non-credit.
  • Process withdrawals and tuition calculation process including investigating student financials to accurately ensure students are charged and refunded correctly when processing program withdrawals.
  • Effectively communicate with students regarding their program withdrawals.
  • Lead unit activities for issuing transcript and credential requests through email, MyQuest, MyCreds, and ApplyAlberta.
  • Effectively communicate with students about the status of their transcript and credential issuance.
  • Collaborate with the Graduation Administrator to ensure timely issuance of transcripts and credentials to new graduates.
  • Maintain supply of credential materials such as transcripts, folders, envelopes, and parchments.
  • Provider confirmation of enrolment verification, registration letters, and completion of forms for certification and licensing.
  • Respond to government, legal, and FOIP requests for student information.
  • Post student grades daily as received from program areas, sending reminders when not received in a timely fashion.
  • Record, process, and store grade change requests.
WHAT YOU BRING
  • Post-secondary diploma in a related field.
  • 2+ years\' of related work experience.
  • A combination of education and experience will be considered.
  • Certified Information Professional (CIP) designation is preferred.
  • Intermediate knowledge of Microsoft Office suite of products (Word, Excel, Outlook); comfortable with other computer applications.
  • Experience with a student information system (PeopleSoft preferred).

  • Accurate keyboarding skills.
  • Experience working with post-secondary transcripts and grades.
  • Knowledge of FOIP.
SALARY: $41,477 - $51,966 reflective upon what you bring AKA your education and experience. This is a full-time permanent position and includes immediate access to our great pension and benefits programs.
