Job Description

The Records and Information Management department provides legislated records compliance, FOIP and records and information management support to all County departments and the Chief Administrative Officer. We are looking for a Records and Information Management Analyst to join our team. The successful applicant will work as a part of a small team to deliver the objectives of the records management program including adherence to filing practices, use of manual and automated records management systems, and compliance with current policies and legislation. Some typical duties may include:

  • Assisting with updating the retention schedule from time to time by referencing relevant legislation, internal policy and professional records management sources
  • Providing input and support for the implementation and maintenance of Electronic Document and Records Management System (EDRMS) including data migration, training, testing, troubleshooting, support, set up, access and security provisions for the implementation of Records processes
  • Coordinating metadata standardization and document naming conventions at the corporate and business unit levels
  • Providing support for the Records and Information Management Coordinator in conducting legal research and responding to FOIP information requests and environmental inquiries processing
Qualifications:
  • A Business or Office Administration Certificate or Diploma with experience performing records management duties in a computerized environment, and/or:
  • Certificate in Information Access and Protection of Privacy (CIAPP) and/or experience processing formal information requests filed under FOIP/HIA or equivalent Federal or Provincial right of access to information legislation is considered an asset.
  • Experience with EDRMS administration and/or document management systems configuration, maintenance and troubleshooting (e.g. SharePoint) an asset;
  • Advanced data standardization skills using databases or complex spreadsheets and records management software
  • Knowledge of local government procedures and experience in a municipal setting an asset
  • Familiarity with conducting legal research using online sources related to privacy laws an asset
  • ARMA recognized accreditation, such as: Certified Records Analyst (CRA), or Certified Records Manager (CRM), or Information Governance Professional (IGP), or Certified Information Professional (CIP), or ALA/CLA accreditation such as a degree in Library, Information Science (MLIS) or Archival Studies (MAS) or Information Studies related technical certification is considered a definite asset
The successful applicant will be a team player with good organizational and communication skills. You will be a self-starter who can work with minimum supervision, and a high degree of accuracy and discretion. This position works Monday to Friday from 8:30am to 4:30pm.
