Your opportunity:

The Office of the Faculty Registrar works closely with departments and colleges at the University of Toronto, concerning virtually all matters relating to Arts and Science students. Our department members are dedicated to aid all students to the greatest extent, to make their university experience as smooth and seamless as possible. We coordinate personal, financial, and academic counselling, registration and enrolment, student records, transfer credit, petitions, final examinations, and graduation.

Reporting to the Associate Director, Enrolment Services & Records, the Records and Enrollment Assessor maintains academic records for current and previously registered students; monitors, assesses, updates and reconciles information pertaining to students\' academic status, registration, course enrolments, degree POSts and subject POSts and petitions; and assesses and determines students\' eligibility to graduate. The Records Assessor develops a comprehensive understanding of and keeps current on University and Faculty policies, procedures and practices as they relate to academic, degree and transfer credit regulations, and achieves expert knowledge in retrieval, display and filing records on ROSI and divisional-specific databases and systems.

Your responsibilities will include:

  • Analyzing and reconciling registration/status/program of study information
  • Resolving issues within the scope of the role and escalating problems as required
  • Keeping well-informed on policies, procedures and key regulatory deadlines
  • Reviewing and assessing student records to determine academic standing and informing students of changes
  • Reviewing and assessing student records to confirm eligibility to graduate
  • Analyzing administrative processes and procedures and recommending changes for improvement
  • Following rules and procedural processes related to Freedom of Information and Protection of Privacy Act (FIPPA)
  • Documenting and maintaining standard operating procedures
Essential Qualifications:
  • Bachelor\'s Degree or acceptable combination of equivalent experience.
  • Two (2) years of recent and related experience interpreting and applying academic policies and requirements, preferably in a registrar\'s office oracademic unit
  • Demonstrated experience with degree and program requirements in a post-secondary institution or division.
  • Understanding of and experience with a student information system (e.g. ROSI) and adegree assessment/audit system (e.g.,Degree Explorer).
  • Advanced skills using MS Excel, MS Word, and Outlook.
  • Demonstrated time management and organizational skills with the ability to effectively prioritize, multi- task and organize work.
  • Ability to read, retain, understand and apply a large amount of information and complex set of regulations and guidelines with minimal supervision
  • Demonstrated resourcefulness and ability to analyze problems, identify key information and issues, and exercise initiative and develop effective solutions
  • Flexible with the ability to learn new applications and systems is required
  • In-depth knowledge of the Faculty of Arts & Science registrarial policies, practices, and procedures is a definite asset.
  • Follow rules and procedural processes related to Freedom of Information and Protection of Privacy Act (FIPPA).
Assets (Nonessential):
