Jamal Law Group is a growing downtown Vancouver firm specializing in Family Law and currently seeks a full-time Receptionist/Legal Administrative Assistant wishing to join a collegial, professional, and supportive team that works in a fast-paced, paperless environment.
General Accountability
The Receptionist/LAA is the first point of contact and the face of the firm. The position is responsible for providing optimal delivery of services to visitors and internal clients. Responsibilities also include legal administrative assistance and accounting support.
Primary Responsibilities
1. Reception
Welcome clients and guests to the firm in a warm, friendly, customer service-oriented approach;
Answer incoming calls on a multi-line switchboard and directing calls to the appropriate person;
Maintain tidiness and cleanliness of the reception, meeting room, kitchen and common areas;
Manage the meeting room booking schedule and arrange for catering where appropriate;
Ensure supplies in kitchen, common areas and copy room are well-stocked each week;
Maintain a detailed log of deliveries and mail (incoming and outgoing); Coordinating couriers and mail
Maintain the firm's phone system and provide support and training to users on the operation of the phones;
Maintain operational manuals, office policy/procedural documentation, daily/weekly/monthly and other checklists;
Other duties as assigned.
2. Legal Administrative Support and Back-up
Book appointments as requested;
Client billing/payment support as directed;
Preparing and Filing Court Forms; Preparing Court Binders;
Open and close files - file maintenance, conflict checks ;
Other duties as assigned;
3.
Accounting Support
Client Payables including posting payables, posting the charge to the client ledger, and paying invoices;
Petty Cash reconciliation;
Receive client payments and inform the necessary parties of the funds received;
Support other accounting functions when needed.
Qualifications
High school graduation;
Successful completion of an accredited Legal Administrative Assistant program an asset;
A minimum of one to two years' switchboard and administrative experience or similar role;
Strong technical skills including proficiency with MS Office Word, Excel, Outlook and Adobe;
A client-centred approach with a commitment to providing outstanding service;
Strong interpersonal, verbal and communication skills with an excellent command of the English language;
Effective time management and organizational skills and the ability to follow instructions and meet prescribed timelines;
Resourceful and energetic, eager to learn and accept feedback;
Ability to work independently while being a team player;
Ability to multi-task without sacrificing attention to detail and remain calm under pressure;
Ability to exercise maturity, sound judgment, discretion, confidentiality, and to adapt to changing demands and circumstances;
Willingness to learn on the job and assume additional responsibilities as time progresses.
