Job Description

The Licensed Assistant/Admin Assistant will be responsible for service excellence in all dealings with existing clients, as well as prospects and advisor. This will include client servicing, administrative support to advisor, completion and follow up on client communication and documentation, preparing financial plans and proposals, including other duties as assigned such as back up for other support staff. The candidate will take the initiative to learn policies and procedures as well as marketing and social media support. Demonstrating effective communication, taking initiative and having strong organization skills.

Job Responsibilities



Responsible for completing documents with accuracy and follow up Ensure effective client communication and completion of account paperwork, directly with clients, advisor and financial institutions Support the entire account opening process from the preparation of documentation to the coordination of the account opening and asset transfers Place and check daily trades and other transactions to ensure accuracy and timeliness Ensure excellence in end-to-end processes to migrate prospects to clients Provide marketing support to advisor including social media and special events Outbound calls and emails to set up meetings, client engagements and client events Assist in building client relationships through business dialogue, strong note taking and effective communication Assist the advisor in preparing financial plans and proposals Support and provide coverage for other support staff Manage and maintain all instructions, notes, necessary reports, documents in an organized and accessible manner

Skills and Knowledge Requirements



Professional Experience:

Minimum 2-3 years within a support capacity and client service in the financial service industry.

Education Requirements:

Post secondary diploma or degree. The completion of MFDA licensing. Life Insurance license an asset but not mandatory.

Communication:

Excellent client service skills are required. The ability to listen and deliver client needs within a timely manner are required. You must be able to maintain an excellent relationship with advisor, other support staff and clients.

Organization Skills and Time Management:

Must be able to prioritize, meet deadlines and must be detailed oriented. Various key responsibilities require time management skills and the ability to manage various documents.

Computer Software:

Must have good working knowledge in Outlook, Excel and Word.
