Responsibilities



Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills Handle incoming calls efficiently, directing inquiries to the appropriate departments or personnel Maintain organized front desk operations, including filing, data entry, and document proofreading for accuracy Schedule appointments and manage calendars using tools like Google Workspace or Microsoft Office applications Support office management tasks such as ordering supplies, maintaining cleanliness, and coordinating mail services Assist with clerical duties including typing correspondence, updating records in QuickBooks or other software, and managing data entry tasks Support bookkeeping activities by tracking invoices, payments, and expenses as needed Maintain a professional appearance of the reception area to reflect the organization's standards Provide bilingual support if applicable to assist diverse clients or team members effectively

Experience



Proven experience in office administration or reception roles with strong organizational skills Prior experience managing multi-line phone systems and providing excellent customer service Familiarity with office management software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar) Demonstrated clerical experience including data entry, filing, proofreading, and document management Knowledge of QuickBooks or bookkeeping software is a plus Experience in healthcare or dental reception or medical receptionist roles is advantageous but not required Strong computer literacy with the ability to adapt quickly to new tools and technologies Excellent time management skills with the ability to prioritize tasks efficiently Bilingual abilities are highly valued for supporting diverse populations

Job Type: Full-time

Pay: $15.80-$20.00 per hour
