The UCVM Community Care Clinic will provide veterinary care to Albertans facing barriers to accessing veterinary services, while offering opportunities for veterinary students to learn and apply the principles of contextualized care in a primary care small animal setting.
The Receptionist reports directly to the Manager of the Community Care Clinic. They may also receive functional direction from Lead RVT, faculty members, especially when it comes to mentoring or demonstrating clinical skills and procedures. Will occasionally work with Clinical Teaching Technicians, likely in support of student learning and clinic operations.
Given the work environment, the Community Care Clinic Receptionist must not have any known animal allergies that interfere with their ability to perform the tasks required of the position. The position may be physically demanding due to the heavy lifting and prolonged periods of standing required.
The work requires the staff to have strong communication skills when scheduling and providing administrative services to support UCVM Community Care Clinic. This position can occasionally have high stress level due to the work performed.
This position will require working as a team and independently in planning and execution of day-to-day activities. This position works 35 hours a week, Monday to Friday, but on occasion, there may be a need to work outside of regular hours.
Summary of Key Responsibilities
(job functions include but are not limited to):
Greet and check in clients and their pets with professionalism
Schedule appointments and manage the clinic calendar
Answer phone calls and emails courteously
Maintain accurate client and patient records using ezyVet
Manage record requests between veterinary hospitals and community partners
Process payments, handle billing inquiries, and processing end of day procedures
Assist clients in accessing appropriate resources or referrals
Cross-trained to support Technologist Assistants
Support outreach activities and mobile clinics
Track and restock nutritional and over-the-counter supplies
Ensure the reception area is clean and welcoming
Ensures incidents or occupational injuries are properly documented and reported as outlined in University of Calgary Safety and Security protocols
Interacts with facility users (faculty, students, staff, and others) in a pleasant and respectful manner
Maintains confidentiality, adheres to safety regulations, and is flexible in helping in other areas as required
Qualifications / Requirements:
Certification in Veterinary Technician Assistant or Veterinary Office Assistant (asset)
3-5 years of experience in a small animal veterinary practice
Knowledge of contextualized care and spectrum-of-care models
Familiarity with veterinary terminology, procedures, and patient record systems (e.g., ezyVet)
Strong communication, organizational, and problem-solving skills
Ability to work independently and collaboratively in a changing environment
The ability to restrain and handle small animals with low stress handling
Valid driver's license and reliable transportation
Physical ability to lift animals and stand for extended periods
Experience working with students and/or in educational settings (asset)
