The Receptionist is the first point of contact for visitors, callers, and clients. This role manages the front desk, provides exceptional customer service, and performs administrative support functions to ensure smooth day-to-day office operations.
Key Responsibilities
Warmly greet and direct visitors; maintain a professional, welcoming reception area.
Answer and route incoming calls; take accurate messages and ensure timely follow-up.
Monitor and respond to general inbox inquiries; distribute mail and courier packages.
Manage boardroom calendars; schedule meetings and coordinate visitor access/badges.
Maintain office supplies and place orders; assist with vendor coordination as needed.
Prepare, format, and proofread documents, letters, and reports with high attention to detail.
Qualifications
1-3 years' reception or office administration experience (corporate environment preferred).
High school diploma required; college diploma/certificate in Office Administration an asset.
Proficient with Microsoft 365 (Outlook, Word, Excel, Teams) and multi-line phone systems.
Excellent verbal and written communication; strong customer service orientation.
Highly organized with the ability to prioritize, multitask, and meet deadlines.
Discretion and professionalism when handling confidential information.
