Office Manager/Director of Child and Family Services

Summary of Duties:
Reporting to the Office Manager/Director of Child and Family Services, the Receptionist is responsible for creating a welcoming environment and providing administrative support across various departments. The role involves greeting visitors, answering inquiries, and performing a variety of office tasks to ensure smooth operations.
Key Deliverables and Expectations:
Greet visitors and create a positive, welcoming atmosphere.
Answer multi-line telephone, greet callers, and assist with inquiries.
Review and manage incoming and outgoing electronic communications in a timely manner.
Screen, sort, scan, and distribute incoming and outgoing mail.
Coordinate meeting room bookings and set up as required.
Assist clients with completing forms, either electronically or in hard copy.
Ensure all office equipment is functioning properly and place service calls when necessary.
Maintain a clean, safe, and professional office environment at all times.
Provide administrative support to teams as needed.
Perform other related duties as assigned.
Experience and Attributes:
High school diploma or equivalent.
Training or certification in reception, office administration, or a related field.
Outstanding written and verbal communication skills in the English.
Ability to work both independently and collaboratively as part of various teams.
Strong organizational skills with a keen attention to detail and excellent time management abilities.
Capable of meeting deadlines, prioritizing tasks, managing multiple responsibilities simultaneously, and maintaining confidentiality.
Strong proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
Motivated self-starter and with strong interpersonal skills.
Highly professional in all aspects of business, presentation and interaction with all stakeholders, clients, and Members.
