Job Description

The Receptionist serves as the primary on-site contact for our client facility, delivering exceptional customer service while managing daily operations across reception, shipping, and administrative functions. This role requires seamless coordination between multiple client departments and our Toronto head office to ensure superior service delivery.

WHAT YOU WILL DO:



Reception & Guest Services



Greet visitors and manage all inquiries with professionalism and courtesy Handle phone calls, visitor management, and guest pass coordination Maintain reception area presentation and manage office supplies Coordinate catering and office functions

Shipping & Mailroom Operations



Serve as primary Mailroom clerk handling all incoming/outgoing packages Process international shipments including commercial invoices and customs coordination Manage specialized equipment shipments to provincial installers and customers Coordinate sample shipments for brewery and marketing teams Oversee driver deliveries and logistics

Customer Service & Order Management



Collaborate with Customer Service team on daily order processing and delivery coordination Process walk-in orders and payments on-site Generate custom daily, weekly, and monthly reports for various teams

Administrative & Financial Support



Distribute employee payment information and process receipts Support warehouse operations with shipping reports, orders, and payments Assist with order processing and finalization

Client Relationship Management



Proactively manage hospitality services per client standards and KPIs Collaborate across all JLL business lines (FM, Engineering, Transactions, Projects) Ensure superior customer satisfaction through consistent service delivery

Health & Safety Compliance



Maintain safe working environment for all employees and visitors Comply with all health and safety guidelines, policies, and procedures
