We are seeking a compassionate and organized Receptionist to be the first point of contact for our community members and support our administrative operations.
Duties and Responsibilities
Greet visitors and manage incoming calls, providing excellent customer service and directing inquiries appropriately,
Assist with general filing, data entry, and organization of documents to ensure efficient office operations,
Maintain confidentiality on all matters relating to the Coldwater Indian Band;
Maintain calendars, schedule appointments, and coordinate meetings for staff and community events,
Manage incoming and outgoing mail, packages, and deliveries as needed,
Maintain and replenish inventory of office and kitchen supplies and materials,
Foster positive relationships with community members and stakeholders, upholding the values of respect and inclusivity,
Communicate effectively with various departments to streamline operations and support teamwork,
Support with developing the community newsletter and updating the website,
Provide supports such a running errands, shopping and delivery of documents as needed, and
Other ad hoc duties as assigned by the Band Executive Assistant.
Knowledge, Skills, and Abilities
Understanding of Indigenous cultures, traditions, and community dynamics, with a focus on respect and sensitivity in all interactions,
Strong verbal and written communication abilities, including active listening and the capacity to convey information clearly,
Ability to build rapport with diverse individuals and groups, creating an inviting and supportive environment,
Meticulous attention to detail, with strong organizational skills to manage various administrative tasks efficiently,
Flexibility in responding to changing circumstances and the ability to handle multiple tasks simultaneously,
A genuine concern for the well-being of others, actively supporting community members in need, and
Dedication to growth through continuous learning about Indigenous knowledge and office management practices.
Experience, Education and Requirements
Previous experience in a receptionist or administrative role is preferred, particularly within community-focused organizations,
A high school diploma or equivalent is required; further education in administration, business, or related fields is a plus,
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (printers, copiers, etc.),
A proactive approach to tasks and responsibilities, contributing positively to office dynamics, and
Willingness to work flexible hours, including evenings or weekends, as needed to support community events and initiatives.
Valid Driver's Licence and own transportation is required; and
Must be able to pass a criminal record check.
Job Types: Full-time, Fixed term contract
Contract length: 12 months
Pay: $18.00-$23.00 per hour
Expected hours: 35 per week
