We are seeking a professional and organized Receptionist to serve as the first point of contact for our office. The ideal candidate will possess excellent communication skills, strong organizational abilities, and proficiency in office management tools. The ability to learn new software and procedures is critical. This role involves managing front desk operations, handling multi-line phone systems, data entry and providing exceptional customer service to clients and visitors. The Receptionist will play a vital role in maintaining a smooth and efficient office environment.
Duties
Greet visitors and clients professionally, ensuring a welcoming atmosphere
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Schedule appointments and manage calendars.
Perform data entry, filing, and maintain accurate records using computer literacy skills
Handle incoming and outgoing correspondence, including proofreading documents for accuracy
Assist with office management tasks such as supply inventory and organization of office supplies
Support administrative functions including bookkeeping, invoicing with QuickBooks, and basic bookkeeping tasks
Provide customer support via phone and in person, demonstrating excellent phone etiquette
Maintain confidentiality of sensitive information and ensure compliance with office policies
Support other administrative staff with clerical duties such as typing, proofreading, and document preparation
Experience
Prior office management or administrative experience preferred
Experience working at the front desk in a professional setting is highly desirable
Familiarity with multi-line phone systems, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace is essential
Bilingual abilities are advantageous to assist diverse clients and visitors
Knowledge of medical or dental receptionist procedures is a plus
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent customer service skills with a professional demeanor and proper phone etiquette
Proven ability to manage time effectively, prioritize tasks, and handle clerical responsibilities accurately
