A receptionist is our first point of contact, an ambassador for our firm, represents/presents the client brand.

Responsibilities:

  • Will manage front office, telephone, client meetings, greet clients and visitors.
  • Sending, receiving and sorting mail, couriers packages, and virtual mail; ensuring delivery to right people/departments
  • Will look up unidentified mail in (client database).
  • Will cross train in the mail/print center and rotate in as necessary.
  • Will manage in-house client events
  • Escort guests to meeting rooms. Take coats/luggage and store. Offer coffee/water.
  • Works closely with department Admins.
  • Oversee services mailbox - for administration of client meeting room reservations and catering requests. Triage catering requests and coordination of managed client meeting rooms.
  • Oversee fax mailbox \xe2\x80\x93 recorded voice messages and electronic fax.
  • Back up oversight to facilities mailbox, submit service request to landlord for building issues.
  • Document front desk processes and maintain \\ update on sharepoint site.
  • Performing various administrative tasks including, booking meeting rooms, arranging catering, transportation and completing ad hoc requests for colleagues
  • Back up to support requests for records retrieval during transition of electronic records to the business.
  • Familiarity with Iron Mountain File storage documentation \xe2\x80\x93 e.g. arranging pick up.
  • Security access card administration.
  • Participate in Health & Safety Fire warden.

Education & Experience:
  • High School Diploma or equivalent experience
  • Minimum 1-2 years of experience working in a reception or switchboard position
Skills:
  • Excellent communication and interpersonal skills; professional interpersonal skills to handle sensitive and confidential situations; position continually requires demonstrated poise, tact and diplomacy
  • Exceptional customer services skills both in person and over the phone; excellent telephone skills; professional speaking voice and tone
  • Strong client focus
  • Strong organizational skills
  • Strong attention to detail
  • Effective use of Microsoft Office
  • Demonstrated initiative and resourcefulness
  • Ability to work independently, manage their time efficiently and with limited supervision
  • Ability to regularly lift and push objects up to 30-50 pounds
