Reporting to the Office Manager, the Receptionist will be responsible for the Willow Lake Metis Nation's daily office operations including, reception, data entry, event support, as well as any additional deliverables agreed to with their manager. The Receptionist is a self-starter, enjoys working in teams, has excellent communication skills, and gets satisfaction out of ensuring the team, organization and community members are set up for success.

This role will offer on-the-job training opportunities to help you build on your existing skills and gain new experience in an office environment. We are simply looking for candidates who are driven, hardworking, and eager to learn quickly while contributing to an already great team atmosphere.

Core Responsibilities

Provide reception support which includes welcoming guests and greeting people who visit the office. Coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Provide general administrative support including, but not limited to office supplies, meal purchases, email support, mail, file management, team scheduling and data entry. Monitor, maintain, review and approve office supplies inventory. Arrange meetings and travel, manage schedules, maintain minute book and files in sharepoint. Assist with reporting expense as directed by the financial controller. Complete scanning and data entry as required by the WLMN Team. Participate actively in the planning and execution of company events. Support WLMN team with grant applications, searching, monitoring, tracking and drafting communication for grants and preparing any necessary documentation. Provide communications assistance to WLMN team including liaising with suppliers and external communications company. Support Employment and Education Programs Assist with the preparation and creation of high-level presentations, content, layout and release of electronic communications to stakeholders such as brochures, mass mailings, e-newsletters, event listings, media/public announcements, social media posts and other communication elements. Effectively manage files and input data in keeping with WLMN's standards. Maintain a safe and secure working environment. Assist with miscellaneous special projects or other duties as needed. Support Willow Lake Metis Farm on and off location - Transportation, subscription registration and payments, AP/AR and record both in QuickBooks.

Qualification:



Certificate or Diploma from an accredited institution in accounting, office administration, or human resources is an asset but not a requirement. 2 + years of reception or administrative assistant experience. Valid Class 5 Driver's license is required and access to reliable transportation.

Great verbal and written communication skills Ability to actively and consistently represent WLMN's values and goals Excellent MS office knowledge Knowledge of accounting, data, and administrative management practices and procedures Strong computer skills and knowledge of office software packages Experience with QuickBooks is an asset Strong computer skills and proficiency with SharePoint and outlook Ability to multitask and prioritize tasks Excellent time management skills Well-developed organizational skills Attention to detail Professional discretion
