The Receptionist will be a dynamic and organized individual responsible for providing administrative support to the Calgary location of Vitrum Glass Industries. This role will focus on managing day-to-day office operations, providing exceptional customer service, assisting with administrative tasks, and coordinating events, all while ensuring smooth and efficient operations.



Key Responsibilities:



1. Administrative Support:



Answer incoming phone calls, direct inquiries, and provide basic information to customers and team members. Greet visitors and customers in a professional and welcoming manner. Handle mail distribution and ensure timely delivery of all correspondence. Assist with purchasing, including matching invoices with purchase orders and tracking expense reports. Maintain and organize office supplies and equipment. Assist shipping department with paperwork and pick up orders.

2. Office Operations Coordination:



Coordinate receiving of deliveries and ensure items are accurately logged and distributed. Assist with customer visits, including organizing food, snacks, drinks, and other accommodations to ensure a positive experience. Help with organizing and coordinating company events, both internal and external, ensuring all logistics are handled smoothly. Coordination of customer template orders and creating files for programmers.

3. Customer Service and Communication:



Serve as a first point of contact for visitors and customers. Manage communication between departments to ensure accurate and timely information flow. Keep office area clean, organized and tidy.

Required Qualifications:



Proven experience in an administrative support or office coordination role. Excellent organizational and multitasking skills. Strong communication skills, both written and verbal. Proficiency in Microsoft Office Suite (Word, Excel, Teams). Ability to handle confidential information with discretion. Strong attention to detail and problem-solving abilities. Professional demeanor and positive attitude.

Preferred Qualifications:



Previous experience in a manufacturing or industrial environment. Experience with invoicing or basic accounting functions. Knowledge of office management procedures and the ability to adapt to changing environments. Experience as administrative assistant or receptionist.

Work Environment:



The Office Coordinator will be based at the Vitrum Glass Calgary location, working in a fast-paced, collaborative office environment. Hours worked are typically Monday to Friday from 8:00 am to 4:30 pm.
