JOB SUMMARY:
The Receptionist (
volunteer
) position is the first point of contact for clients and ensures the efficient flow of communication for agency wide services.
Duties and Responsibilities:
Receive and direct all incoming telephone calls, provide information and referrals to DBNC services.
Greet clients upon arrival, answer inquiries and direct them to appropriate staff.
Conduct intake form and ensure clients have the documents appropriate for services.
Ensure office equipment is in working order and troubleshoot when required.
Be aware of Panic Alarm/Fire Alarm procedures and protocols.
Develop and maintain a filing system and contact lists.
Coordinate incoming, outgoing mail and courier dispatches.
Collect statistical records and prepare monthly reports.
Participate in team meetings.
Liaise with Office Administrator to handle requests and queries from the Senior Management team.
Daily processing of invoices, matching with packing slips, retrieving signatures, and submitting to Purchasing and Accounting.
Assistance with Tax Clinic - booking appointments, verifying documents, liaison with tax volunteers.
Maintain a clean, tidy, safe, and functional reception area.
Be aware of facility upkeep and maintenance from health and safety perspective.
All other tasks as requested by manager which support our programs
QUALIFICATIONS:
Ability to continuously manage simultaneous tasks.
A minimum of a year reception experience working in high volume environment (over 200 calls per day).
Working knowledge of Microsoft 365 (Outlook, Word, and Excel).
Experience in database, preferably client relationship management (CRM).
Knowledge of fire evacuation and lockdown procedures.
Knowledge of non-profit sector and issues affecting newcomers.
Strong organizational skills, accuracy, and consistency of work a necessity.
Excellent English oral and written communication skills.
Cultural sensitivity, mature judgment, and good conflict resolution skills.
Additional language/s is an asset.
High school diploma.
