Job Description

IUPAT District Council 38 is a dynamic trade Union looking for a thoughtful, well-rounded administrative assistant to join our team of six for a full-time position. If you're the right fit, you take great pride in your work, love to be organized, and take care to do things right the first time. You will likely have experience as an administrative assistant, or related educational experience such as a diploma or degree in communications, marketing, accounting, etc.

About the Role



This role is more than a receptionist position--it requires strong communication skills, administrative expertise, and the ability to support our members with professionalism and accuracy.

Key Responsibilities



Provide administrative support while maintaining confidentiality and professionalism. Screen phone calls and direct inquiries to the appropriate party. Process and receipt member payments with accuracy. Manage incoming mail, faxes, and emails, ensuring they are responded to or redirected as needed. Produce accurate, well-formatted documents using word processing, spreadsheet, and presentation software. Enter, collect, and analyze data, compiling structured reports. Maintain organized filing systems, including confidential documents. Monitor office supply levels and place orders as necessary. Compose clear, well-structured letters and correspondence with proper grammar and formatting. Provide in-person assistance to members by processing their payments and guiding them through the completion of various membership forms. Accurately and efficiently enter member applications into the database. Maintain a clean and organized office environment.
While some of the position's duties will be related to reception, it is much more than a standard receptionist position and would be well suited to someone who is curious and eager to learn.

Required Qualifications


All candidates must have the following qualifications:

Excellent organizational skills and attention to detail. Ability to work independently and take initiative. An approachable and friendly demeanor Diploma in Office Administration, Business Administration, or a related field (or equivalent experience). Strong verbal and written communication skills. Experience in an administrative, customer service, or front desk role. Proficiency in Microsoft Office (Word, Excel, Outlook), including the ability to use formulas and analyze data in Excel. Ability to handle confidential information with discretion. Customer service experience. Long-term commitment to the organization (5 years +).

Preferred Qualifications



Experience in a union or member-based organization. Knowledge of dues processing or member services. Familiarity with office administration best practices. Previous experience writing formal correspondence or reports.

Note:

Potential hires will be assessed on their letter writing abilities, as well as their ability to use Microsoft Word and Excel at an intermediate level.

How Will You Be Compensated?



A starting salary of $28 to $32 per hour, depending on experience. A comprehensive benefits package which includes extended health, dental, and vision care. Pension plan contributions. Three weeks' vacation per year.

Today, IUPAT DC38 is an organization representing members in Painting and Decorating, Glazing and Architectural Metal Work, Drywall Finishing, Wall & Ceiling Installers (lathers), Hazardous Materials Workers, and Allied Trades such as Inside Glass, Sign and Display workers, and Waterblasters.

Job Types: Full-time, Permanent

Pay: $27.00-$31.00 per hour
