Role Overview
We are seeking a
detail-oriented, dependable, and bilingual Operations & Executive Assistant
to join our team.
This is a hybrid role that combines
Brokerage Operations Compliance
with
Executive Assistant responsibilities
to the Broker of Record.
The successful candidate must be
fluent in English (close to native-level)
and in
either Mandarin or Cantonese Chinese (native-level)
. This is essential because the role requires preparing and reviewing legal real estate documents in English, while also supporting a large base of Mandarin- and Cantonese-speaking clients.
Key Responsibilities
Compliance & Brokerage Operations
Review, prepare, and audit real estate transaction documents for compliance, including:
Agreement of Purchase and Sale
Listing Agreements
Brokerage compliance packages for Outside Sales Agents (OSA)
Upload and manage brokerage listings and transactions in the MLS broker system.
Maintain transaction checklists, organize records, and ensure accuracy across all files.
Support onboarding of new agents and ensure they adapt smoothly to company systems.
Assist in developing and refining brokerage SOPs.
Broker Support & Executive Assistance
Assist the Broker of Record directly with:
Property valuations and Comparative Market Analyses (CMA) for listings.
Reviewing supplier/vendor contracts and service agreements.
Client Q&A, property updates, and coordination during active deals.
Scheduling, property searches, and booking/coordinating showings.
Provide day-to-day administrative support to the Broker, ensuring efficient execution of ongoing listings and transactions.
CRM & Client Journey Management
Manage and maintain the CRM (Follow Up Boss):
Organize lead pipelines, troubleshoot automations, refine nurturing action plans.
Ensure all new leads and inquiries are properly captured, categorized, and directed into workflows.
Marketing Support (can be trained)
Assist with creating and placing digital ad campaigns (Google, Meta Ads).
Support email marketing campaigns, including drafting and managing content.
Provide operational support for content marketing initiatives as needed
Compensation
Annual Salary:
$50,000 - $55,000, depending on capability and experience.
Full-time T4 position with EI and CPP contributions.
Opportunities for growth into managerial capacity as the brokerage expands.
Qualifications
Mandatory bilingual proficiency
English
: Close-to-native fluency (spoken and written), with the ability to confidently draft and review legal and compliance documents.

Minimum 2 years' experience in a similar operations, compliance, or administrative role within a real estate brokerage.
Strong knowledge of real estate transaction documents and compliance standards.
Excellent organizational skills and attention to detail.
Strong proficiency with MLS, TREB tools, and real estate systems.
Ability to multi-task and problem-solve in a fast-paced environment.
Familiarity with CRM (Follow Up Boss preferred) is an asset.
Experience in paid media and email marketing is a strong plus.
