NEC Native Education College is the largest private Indigenous led college in Vancouver and works with First Nations and Indigenous organizations to deliver programs in locations throughout British Columbia. NEC works to strengthen Indigenous communities through accredited programs that lead to employment and higher learning. We are seeking an Executive Assistant to the Dean of Academics.
Position Summary
NEC is seeking a dedicated Confidential Academic Support Officer to provide high-level administrative support to the Dean of Academics.This full-time permanent position plays a key role in managing sensitive and privileged information related to academic planning, personnel matters, and strategic initiatives while ensuring the efficient operation of academic activities. The role serves as an essential link between the Dean of Academics, senior leadership, academic teams, students, and external partners, maintaining effective communication and upholding NEC's mission and Longhouse values.
Job Requirements
Minimum Qualifications and Experience:
A diploma or degree in business administration, office management, or a related field.
Minimum of 3 years of administrative experience supporting management, preferably in an educational or Indigenous-focused setting.
Knowledge, Skills and Abilities
Proven ability to handle confidential labor relations and personnel matters with professionalism and discretion.
Experience working with learning management systems (Moodle) and student information systems (Colleague) is an asset.
Strong organizational and time-management skills, with the ability to manage multiple projects simultaneously.
High proficiency in Microsoft Office Suite and other administrative software.
Excellent verbal and written communication skills, with a focus on confidentiality and professionalism.
Knowledge of Indigenous cultural values, protocols, and community dynamics is an asset.
Strong interpersonal skills and the ability to build trusting relationships with senior management and staff.
Commitment to upholding NEC's mission and Longhouse values.
Main Responsibilities
Manage the Dean's daily calendar, appointments, and schedule meetings.
Record, distribute, and follow up on meeting minutes and action items.
Track academic calendar and correspondence deadlines.
Schedule meetings with external partners.
Assist with data management and digital file organization.
Deliver department specific onboarding training for new faculty staff.
Distribute and collect student course evaluations at term end.
Assist with track job posting request needs for faculty staff.
Provide hiring assistance with scheduling, tracking interview materials, reference checks and other hiring administrative tasks.
Prepare Academic reports as required.
Analyze attendance and grade data to support Academic interventions.
Administrative and strategic project support as required.

Appointment to this full-time permanent position will require a formal criminal record check should a recent one not be on file, the details of which may preclude finalizing an offer of employment.
