As our business continues to expand, we are looking for a skilled Real Estate Executive Assistant to help streamline our operations, support our team of Realtors, and enhance the client experience at every stage. This position plays a vital role in our ongoing success. The ideal candidate thrives in a fast-paced environment and is adept at managing multiple priorities, including transaction support, client communication, and internal operations. You will be the organizational foundation of our team - A trusted partner who keeps systems running smoothly, ensures deadlines are met, and helps us seize new opportunities. What sets us apart: o Confidential hiring process o Competitive compensation o Paid vacation o Monday-Friday schedule, 9 a.m.-5 p.m. (with occasional evening or weekend hours as needed) Responsibilities: o CRM Management: Maintain and update client databases to ensure accurate and timely communication and follow-up o Transaction Coordination: Manage workflows and timelines for listings and purchases from start to finish o Client Communication: Act as the primary point of contact, providing consistent and professional updates throughout the buying or selling process o Buyer Tour Coordination: Organize and schedule property showings based on client preferences and availability o Email & Calendar Management: Handle inboxes, schedule appointments, and keep team members organized and on track o Marketing Preparation: Assist with creating and coordinating listing materials, brochures, and promotional content o Social Media & Website Management: Oversee content creation, posting, and engagement to maintain a strong online brand presence o Event Planning: Plan and execute client appreciation events, open houses, and team functions from concept to completion Qualifications: o Demonstrates ability to complete detailed work efficiently and accurately o Skilled in prioritizing and managing multiple responsibilities o Holds a valid BC driver's license and has a reliable vehicle o Thrives in a dynamic environment; willing to take on any task, big or small o Driven to continuously improve client experiences and internal processes ("How can I make things better?" mindset) o Flexible schedule; available to work weekends and evenings as needed o Strong interpersonal and written communication skills o Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and internet applications About Company: Client service comes first - Always.
