Office:

Willing to work full-time in-person from our Eglinton office in Mississauga. Working remotely on occasion available upon discussion

What You'll Do:



As a Real Estate Executive Assistant, you will ensure that everything runs smoothly and efficiently. You'll handle a variety of tasks, supporting both our agents and clients to keep deals moving forward. Here's a closer look at your key responsibilities:

Paperwork & Document Management:

CRM Maintenance & upkeep using Follow Up Boss & Trello

Complete forms for deal and listing paperwork

Create updated templates as needed for key paperwork/forms

Proofreading materials (MLS, advertisements, marketing materials, etc.)

Input listing information into MLS

Email management for lead Broker

Scheduling & Coordination:

Manage and coordinate calendar for lead Broker

Schedule showing, inspection and walk-through appointments as needed

Request and follow up on showing feedback requests

Use task management software (Trello) to create templates for various deal types

Research and schedule training and further education opportunities for team

Customized relocation materials/package emailed to clients'

Pick-up and deliver client gifts (closing date, pop-by's, etc.)

Marketing & Social Media:

Creation of brochures, flyers, monthly newsletters for properties using Canva or other software

Maintenance of website

Manage Google Reviews

Execute marketing plan on a monthly basis

Design updated listing & buyer presentations

Create property feature sheets

Office Management & Miscellaneous Tasks:

Coordination of all direct mail

Track office supplies and reorder as necessary

Prepare and collate collateral materials (e.g., print documents for clients)

Order signs, ensuring all signage is up-to-date and well-maintained
