We are looking for a full-time Deal Secretary that is dedicated and passionate about Real Estate, is a team player that works well under pressure, and has the ability to work in a fast-paced environment. The Deal Secretary is an individual who is outgoing, draws energy from working with people, and is optimistic. They have a strong sense of urgency, but not at the expense of quality. In addition, they demonstrate on a daily basis the knowledge, attitudes, skills, and habits of a high achiever who is committed to putting clients first, doing the right thing, and seeking win-win agreements. The Transaction Coordinator must be adaptable to change and be solutions-oriented. They will manage the data entry of all transactions into Brokerage systems and programs. A successful Deal Secretary will provide exceptional customer service. Candidates with real estate industry experience are preferred. Compensation: $40,000 yearly Responsibilities: Duties include but are not limited to:
  • Processing real estate deal transactions, creating trade record sheets & invoices
  • Entering deals into the Brokerage systems
  • Following up and collecting outstanding documents from agents
  • Deal with incoming emails and respond in a timely fashion
  • Preparing and sending commission invoices to the appropriate parties
  • Corresponding with real estate agents, brokerages, builders, and lawyers
  • Uploading documents into the Brokerage\'s paperless systems
  • Handling incoming calls
  • Understanding deal paperwork in order to summarize all important terms, conditions, and dates
  • Maintaining accurate and compliant files for all transactions
  • Other duties as assigned
Qualifications:
  • Proficient knowledge of Microsoft Office (Word & Excel)
  • Strong data entry skills
  • Strong math skills
  • Accounting/bookkeeping experience
  • Customer service oriented, well organized, and thrives in a fast-paced environment.
  • Articulate communicator, handling agent and client calls with a professional demeanor
  • Strong time management skills - prioritize workload and adhere to established deadlines
  • Proactive with the ability to follow through on tasks, and flag potential issues or delays in a timely manner
  • Exhibits keen attention to detail
  • Excellent at building rapport
  • Exceptional problem-solving skills
  • Confidence to work independently and know when to ask for help
  • Self-starter, tech-savvy, and can learn new tools quickly
