Greeting guests, answering calls, and directing incoming calls to appropriate personnel
Confirming appointments and paging the team through Broker Bay
Corresponding with cooperative brokerages and legal team when necessary
Prepring and sending out monthly and annual report for the management team
Tracking inventories and ordering of various office supplies
Preparing Agreements, Amendments, Waivers, and other documents as needed
Preparing the listing draft, and uploading/editing listing on TRREB MLS (Also MREB/BREB ITSO when necessary)
Assisting Real Estate sales representative/ brokers with offer preparation
Maintaing and organizing listing/ deal files
Assisting the deal secretary with following up with agents, vendorS, etc.
Handling schedules, and sending out invitations & reminders
Assisting the management team with other tasks as required
Qualifications:
Minimum high school education with a preference for post-secondary diploma/degree
Minimum 1-2 years of working experience in real estate office administration
Working knowledge of MS Office
Experience using Broker Bay and DocuSign is asset
Must be familiar with OREA forms and WEBFORM/AUTHENTISIGN
Exceptional customer service
Excellent written and verbal communication skills
Great at time management, multitasking and problem-solving
Willing to work weekends when necessary
