We are currently seeking a Deal Administrator to join our team and help ensure every transaction is handled with accuracy and excellence from start to finish.

Key Responsibilities

Review and process all real estate deal files (listings, offers, sales, leases, assignments, etc.) in compliance with RECO, TRREB, CREA, OREA, and FINTRAC requirements. Verify accuracy and completeness of transaction documents before submission. Upload and maintain files in brokerage deal management systems (e.g., LoneWolf, SkySlope, BrokerBay). Coordinate with agents, lawyers, mortgage brokers, and clients to collect required documentation. Handle deposit cheques, trust ledger entries, and prepare transmittals for banking. Maintain brokerage compliance checklists and reporting records. Provide administrative support to agents regarding brokerage policies, forms, and procedures. Assist management with audits, compliance reviews, and monthly reporting.
Qualifications

Minimum 1-2 years of real estate administration or conveyancing experience (brokerage or law office). Strong knowledge of RECO compliance, FINTRAC, TRREB/OREA forms, and brokerage procedures. Proficiency in Microsoft Office, Google Workspace, and deal management platforms. Excellent attention to detail and organizational skills. Strong communication skills in English (additional languages such as Mandarin/Cantonese are an asset). Ability to work independently, handle confidential information, and meet deadlines in a fast-paced environment.
