TN Real Estate Group Inc. is seeking an Admin Assistant to manage a wide range of administrative and personal tasks of the Real Estate Broker. Please check out Thien\'s bio here: https://instagram.com/thiennguyen.ca?igshid=MzRlODBiNWFlZA== As a Real Estate Admin Assistant, you will manage Thien\'s schedule and communications, day to day tasks, and ensure that his professional and personal obligations are fulfilled. Your role is vital as you work to grow and enhance our brand by building strong relationships with our clients and the online communities through our various social media platforms. You will be responsible for managing the end-to-end client relationship, helping with all the administrative tasks associated with selling and/or purchasing a property. Developing and administering social media marketing content that is designed to engage users and create an interactive relationship between consumers and the company. This role puts you at the forefront of our company and will allow you to learn quickly, expand your skill sets and create results within a fantastic team. You will also support Thien oversee a rapidly growing real estate portfolio by maintaining records and helping to fulfill requests from sellers, buyers, lenders, lawyers, and accountants. This is a great opportunity for someone who can create order from chaos. You will work independently, show initiative, and do whatever is necessary to make things run smoothly and professionally. The ideal candidate is self-motivated and proactive, thrives on organization, structure, and efficiency, is meticulous with details and can excel in an environment that often requires multitasking. You must have exceptional written and oral communication skills, but also be tech-savvy with a knack for marketing. The position requires someone who is motivated, quick learner, professional, positive, and personable with a strong work ethic. Previous administrative/coordination experience in Real Estate is required. Workload will increase or decrease based on a variety of factors and there is no set schedule, but candidates must be prepared to dedicate about 30 hours per week to this opportunity. This position is based out of Waterloo Region, however travel to the Great Toronto Area may be required from time to time. Please note that this position is not a typical 9 to 5 and may require work in the morning, evenings, or weekends as needed. Flexibility, prompt communication, and adaptability is required for this position. Currently this position is a hybrid position with opportunity to work from home and in office meetings or offsite client meetings as required. Once our office is ready, this position will be full-time in office in the Kitchener area. Duties & Responsibilities:

  • Manage personal and professional calendar and book appointments
  • Monitor and manage inbound email and social media communication.
  • Research, prioritize, and manage responses to incoming correspondence and requests
  • Boost productivity and efficiency by handling all key logistical and administrative tasks
  • Assist in the assembly, notarization, execution, and shipping of real estate transactions and legal documents
  • Run errands as needed
  • Perform research and manage projects related to personal and professional pursuits
  • Meticulously prepare required paperwork for listings
  • Coordinate Listing Timelines directly with client and bookings with vendors
  • Prepare offer paperwork for Clients
  • Reach out to clients directly regarding properties of interest
  • Coordinate showings for clients and any prospective clients
  • Maintain contact with clients from Buy/Sale to close
  • Facilitate any paperwork that the client may need to be delivered to Mortgage Brokers, Lawyers, etc.
  • Client database management
  • Coordinating client gifts/mail outs
  • Creating daily social media content and sharing content from our partner network. Topics range from real estate, mortgages, personal finance, investing, entrepreneurship and marketing.
  • Reaching out to Press Contacts and Bloggers to get our content featured as well as offering to create content for them that links back to our channels.
  • Reaching out to social influencer to set up influencer marketing drops that feature us and our content.
  • Interacting inside private groups to generate conversation, build community and drive traffic to our online properties.
  • Creation of monthly content calendar and filming schedules for multi media marketing
  • Daily management of social media channels, creating inspirational, informative and engaging content, driving audience traffic to all our channels.
  • Attend listing properties with professionalism in greeting homeowners and agents on site when required
  • Pre-site walkthrough ensuring the homes are photo/video ready
  • Other duties and additional tasks as assigned
Qualifications:
  • Exceptional written and verbal communication skills
  • Working knowledge of business and finance with an entrepreneurial mindset
  • Creative Problem solver who actively seeks and suggests new systems and solutions
  • Ability to execute all duties in a professional manner, maintaining confidentiality and handling sensitive matters with discretion and diplomacy
  • Excellent interpersonal skills and the ability to build relationships with internal and external stakeholders
  • Self-starter: highly motivated and resourceful team player able to manage multiple projects and conflicting priorities under tight deadlines
  • Sound judgment: able to think and work independently, multi-task, prioritize, and follow through to effectively manage workflow
  • Ability to proactively recognize and address needs without explicit direction
  • Strong organizational skills with attention to detail, accuracy, protocol, and a commitment to high-quality work
  • Post Secondary education or certificate in related industry preferred
  • Proficient with Microsoft Office Suite and Google Suite
  • Working experience with Follow Up Boss or similar real estate CRM
  • Previous experience in real estate
  • Proficient in Social media platforms including Facebook, Instagram, TikTok, and Canva
  • Valid Driver\xe2\x80\x99s license and own vehicle required
