We're looking for a highly organized and detail-oriented Real Estate Administrative & Facilities Support Coordinator to join our real estate team. In this role, you'll provide essential behind-the-scenes support to ensure our day-to-day operations run smoothly. From managing listing and transaction documentation to coordinating staging inventory, signage, and office logistics, you'll play a key part in keeping our team efficient and our clients well-supported.
Duties
Prepare and send mailouts to clients, service providers, and leads (e.g. marketing materials, seasonal packages, thank-you gifts).
Draft real estate forms such as listing agreements, amendments, and buyer/seller representation forms, ensuring accuracy and compliance.
Upload and manage MLS listings via Realm/Matrix, including price changes, status updates, and meeting all listing requirements.
Oversee staging inventory: track decor items, coordinate deliveries/pickups, organize storage, and assist with staging and destaging.
Maintain digital transaction files in NexOne, ensuring timely uploads and full compliance with brokerage requirements.
Coordinate signage and lockboxes: schedule installation/removal, manage inventory, and communicate with service providers.
Support day-to-day office operations: keep supplies stocked, arrange couriers or deliveries, and help maintain an organized workspace.
Assist with general administrative and facilities-related tasks as needed to support client care, listings, and transactions.
Qualifications
Strong organizational skills and attention to detail
Excellent communication and interpersonal skills
Comfortable managing multiple priorities in a fast-paced environment
Previous experience in real estate administration is a strong asset
Familiarity with systems such as Realm, NexOne, ShowingTime, Airtable or similar platforms is an advantage
A proactive and team-oriented mindset
