Job Summary:
We are looking for a dedicated and detail-oriented
Purchasing Assistant
to join our team. In this role, you will support the procurement process, ensuring the timely and efficient sourcing of materials, maintaining inventory levels, and fostering strong relationships with our suppliers. You will work closely with internal teams and external vendors to ensure that production runs smoothly and materials are available when needed.
Key Responsibilities:
1. Material Purchasing:
Assist in ordering materials such as wood, hardware, and finishes according to project specifications.
Obtain quotes from suppliers, assist in placing orders, and track their progress.
Collaborate with the Procurement Specialist to manage supplier data and address any issues related to orders or deliveries.
2. Inventory Monitoring:
Keep track of inventory levels and alert the team when stock is running low.
Coordinate with the Production Assistant to confirm materials are received and stored appropriately.
Support inventory counts and maintain organized stock systems.
3. Production Coordination:
Communicate with the Production Manager to stay up-to-date on upcoming projects and special material requests.
Prioritize urgent orders to meet production timelines.
Ensure the timely availability of materials to prevent production delays.
4. Supplier Communication:
Follow up with suppliers to confirm order details, delivery schedules, and address any delivery issues.
Build and maintain positive relationships with vendors and provide feedback on their performance.
5. Documentation & Record-Keeping:
Maintain accurate records of orders, deliveries, and invoices.
Assist in generating basic purchasing reports and inventory summaries as required.
6. Team Support:
Work closely with the Procurement Specialist and Production Assistant to ensure smooth operations.
Help communicate updates to the team regarding material arrivals or delivery schedule changes.
Qualifications:
Education: High school diploma required; post-secondary education in Business, Supply Chain, or a related field is an asset.
Experience: 1-2 years of experience in purchasing, procurement, or inventory support (preferably in a manufacturing or construction-related environment).
Skills:
Strong communication and collaboration skills.
Basic understanding of purchasing and inventory management processes.
Comfortable using Microsoft Excel and digital record-keeping systems.
Organized, detail-oriented, and reliable.
