POSITION DESCRIPTION We are looking for an experienced and professional Property Manager who excels in overseeing the efficient operation of properties and managing major building systems. As a key player in our team, you will build and maintain strong relationships with tenants, contractors, and city officials, ensuring a positive public image for our properties and Terracap. Your responsibilities will encompass site management operations, financial management, and control, as well as contributing to capital and special projects. With 3-5 years of experience in property management, a strong knowledge of building systems, and proficiency in tools such as Microsoft Office and Yardi Property Management software, you will play a vital role in achieving our organizational goals and maintaining high standards of property management excellence. The ability and willingness to travel, along with a valid G driver\xe2\x80\x99s license, are essential for this role. Join us in shaping the success of our properties and contributing to a dynamic real estate environment. KEY RESPONSIBILITIES Site Management Operations

  • Responsible for the efficient operation of the properties, along with the assessment and management of major building systems;
  • Develop and maintain strong professional relationships with:
- all tenants dealing with any operational concerns or issues ensuring that an appropriate Tenant relations program is in place and adhered to; - contractors and consultants ensuring that services provided are competitively priced, of good value and mutually beneficial; - leasing brokers; and city officials and the community creating a positive public image for the property and Terracap;
  • Assist the leasing team as required;
  • Assist with all marketing efforts for the properties;
  • Utilize and record maintenance events in Angus Anywhere software program, including management of Certificate of Insurance module;
  • Review and abstract lease documents noting obligations and terms; Identification of operating efficiencies and recommendations of effective maintenance practices focused on risk management and site safety and security;
  • Coordinate, oversee and manage repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, including but not limited to, landscaping and janitorial work, snow clearing and removal, electrical, painting, plumbing, heating/cooling, ventilations, roofing and security;
  • Tender and negotiate maintenance contracts and manage all property related contracts and repair work;
  • Serve as a technical resource on electrical, mechanical and HVAC systems including troubleshooting, preventative maintenance and repair;
  • Direct and control all personnel and resources to ensure properties are properly maintained and owner objectives are met including the hire, training, evaluation and supervision of site staff, where applicable;
  • Respond to afterhours emergency calls, 24/7;
  • Update job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, participating in professional organizations;
  • Accomplish organizational goals by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to your properties.
Financial Management & Controls
  • Ensure that rents are collected in a timely manner;
  • Ensure that cash receipts are banked and posted in a timely manner;
  • Conduct accounts receivable analysis completing weekly detailed review and respond to tenant inquiries on account balances and year end invoices;
  • Prepare and serve default notices and negotiate payment plans, as required;
  • Review and approve monthly rent charges for processing;
  • Create chargeback invoices for required items and post to the tenant account;
  • Create annual operating and capital budgets per property and adhere to approved budgets by analyzing variances and initiating corrective action, as required;
  • Ensure timely processing of all accounts payable, ensuring that work has been completed and that invoices contain all necessary and pertinent information;
  • Collect and analyze market data, including competitive CAM & Tax rates;
  • Prepare quarterly reports for investors on the current real estate market, operations, tenant matters, capital expenditures and accounts receivable.
Capital and Special Projects
  • Attend bi-weekly senior management meetings via conference call to discuss all issues related to operations, development, leasing, accounts receivable and tenant matters;
  • Assist with the overall re-development of the properties, including, leasing, tenant buildouts, landlords work, construction, and necessary municipal approvals;
  • Oversee and supervise capital projects ensuring that day to day operations do not interrupt tenant use of the property.
QUALIFICATIONS
  • 3-5 years\xe2\x80\x99 experience in property management or a related field.
  • RPA - Real Property Administrator (or real estate equivalent) designation would be an asset.
  • Strong knowledge of building electrical, mechanical, HVAC and structural systems.
  • Experience managing residential, retail and office properties.
  • Computer literacy in Microsoft Office.
  • Exposure to Yardi Property Management software is preferred.
  • Ability and willingness to travel is required.
  • Must maintain a valid G driver\xe2\x80\x99s license.
